Position: Secretary II

Location: Diagnostic & Scientific Centre (#9, 3535 Research Road NW)
Schedule: Tuesday to Friday (hours TBD)

Position Summary
Reporting to the Chief of Clinical Biochemistry Section, this position provides secretarial and administrative support to the Chief of Clinical Biochemistry Section.

Key Accountabilities
 Composes correspondence, transcribes from longhand notes or dictating equipment, types correspondence, bulletins, reports, forms, memos, etc.
 Updates annual reports, curriculum vitae and association membership status.
 Assists with research projects including creating, entering data, and maintaining databases and spreadsheets. Performs data analysis as required.
 Answers telephone inquiries; relays messages and refers callers to the appropriate areas.
 Coordinates schedules, appointments or meetings. Books conference and meeting rooms, arranges for catering.
 Provides administrative support to the committee. Prepares agenda, records, transcribes and distributes minutes. Ensures outstanding items are brought forward, compiles relevant material for meetings and agenda items.
 Assists with the preparation of research grants including forms completion, monitoring of funds available/spent, transferring funds, and administration of payroll functions.
 Assists with the preparation of overheads, slides, Power Point presentations and materials for scientific presentations.
 Makes travel arrangements, compiles and submits expenses.
 Develops and maintains accurate and comprehensive filing system.
 Liaison with internal and external personnel, departments, hospitals.
 Orders and distributes books and other reading material.
 Other related duties as assigned.

Position Requirements
 Grade 12 diploma required.
 Graduate of a recognized program in Secretarial Arts program.
 3 to 5 years of previous secretarial experience is preferred.
 Previous experience in clinical laboratory is an asset.
 Excellent word processing skills (min. 50 wpm), good knowledge of Microsoft Office including Microsoft Word, Excel, Power Point, and Access.
 Working knowledge of the research financial processes at the U of C, CLS and AHS, including AHS and U of C payroll processes.
 Strong communication, organizational, and interpersonal skills.
 Ability to work as a member of the departmental team.
 Any Canadian equivalency to English 30 or 33 or CLBA score of Benchmark 8 completed within the last six months.
