Administrative Assistants at thirdstream ensure the efficient day-to-day operation of the office, and support the work of management and other staff, implementing administrative systems, procedures/policies and monitoring administrative projects. Applicants must have experience working with QuickBooks.



  • answer telephone inquiries in a professional and courteous manner
  • direct telephone inquires to the appropriate staff members
  • greet clients and visitors to the organization in a professional and courteous manner
  • keep reception area tidy, professional and well-organized

Office administration and support

  • use computer word processing, spreadsheet and database software to prepare reports, memos, and documents
  • sort and distribute incoming mail, faxes and other deliveries
  • reply to or forward general e-mails to the appropriate staff member
  • ensure that basic office supplies are always available
  • file material according to the established procedures
  • update and ensure the accuracy of sales contracts
  • back-up electronic files using proper procedures
  • provide secretarial /administrative support to management and other staff
  • make travel, meeting and other arrangements for staff
  • coordinate the maintenance of office equipment
  • assist with financial management
  • use computer software to prepare invoices and financial statements
  • code and file financial material according to established records management procedures
  • process accounts payable ensuring timeliness and accuracy of information
  • process accounts receivable ensuring timeliness, accuracy of codes and appropriate backup
  • prepare accurate bank reconciliations and deposits
  • handle Human Resources including maintaining employee files, managing holiday scheduling, tracking attendance and tracking commissions
  • administer petty cash according to established procedures
  • assist with financial reports as required
  • month end duties as required
  • prepare payroll as required educational qualifications and skills
  • high school diploma
  • post secondary education in business, computers, or office management is an asset
  • minimum of 2 years of experience preferred
  • strong skills in word processing, databases, spreadsheets, bookkeeping and knowledge of online practices are required
  • experience with the following software: QuickBooks, BaseCamp, Microsoft Excel
