Program Assistant

The YWCA is recruiting a Program Assistant in the Disability Services department. The Assistant works with a diverse team of Program Coordinators and has an important role working with internal and external public.
The Program Assistant plays an active role on the Disability Services team, and works collaboratively with other department staff. This is a full time position with hours of work from 8:30am-4:30pm, Monday through Friday. Occasional evenings may be required to meet program’s needs.

Qualifications Required:

  • Minimum 2 years office experience in areas related to office reception, office procedure and basic accounting principles
  • Proven experience and proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Attention to details and accuracy
  • Ability to interact in a positive manner with a diverse population
  • Strong customer service skills
  • Effective crisis management skills
  • Strength in multitasking, prioritizing and meeting deadlines
  • Ability to work independently
  • Knowledge and/or experience of working with individuals with disabilities is an asset

Major Responsibilities:

Administrative

  • Assist Coordinators to communicate with staff. Provide client information to staff as required
  • Track attendance and certification of staff for training courses
  • Ensure staff and contractors maintain up-to-date checks including First Aid/CPR, Child Intervention, Criminal Record, and insurance policies, as required
  • Draft and maintain working forms as appropriate to use within the program/department
  • Effectively handle inquiries from individuals, their families, and staff. Provide information or refer to the corresponding Coordinator as necessary
  • Respond to and document any concerns of clients served or support staff and forward to Coordinator or Director
  • Prepare new hire files for approval by Director and CEO
  • File paperwork as necessary
  • Attend relevant program staff meetings; transcribe and distribute minutes as required
  • Assist with letter and report writing and mail outs as necessary
  • Other duties as assigned

Records Management

  • Assemble and maintain all staff and client files
  • Enter and maintain staff and client information in databases
  • Update and maintain both electronic and hard copies of program specific intake , renewal packages
  • Assist Coordinators to provide current program specific information for Policy & Procedures manual, when required
  • Maintain and provide Director and Coordinators with monthly Program statistics including number of service hours and days

Finance

  • Verify and process timesheets for payroll
  • Prepare billing for submission to the Funders

Authority:

  • Notify Coordinators or Director of staff or client concerns
  • Notify the Director regarding any issue that significantly impacts the department or the YWCA
  • All outgoing correspondence that significantly impacts the department or YWCA must have the approval of the Director
