Position: Admissions and Program Coordinator

We require a full time admissions and program coordinator to help manage the growing number of student exchange participants and become part of the YES business.
Under the direction of the Manager of Operations, the Admissions and Program Coordinator is crucial to the efficient and effective admissions and coordination of student programs. The Admissions and Program Coordinator will deal directly with Canadian students seeking and participating in exchange opportunities abroad.
Your responsibilities will include, but not be limited to:
− Assist prospective students in completing the admissions process in a timely, organized and efficient manner
− Provide program details and guidance to applicants
− Evaluate and review each application to assess the student abilities and ensure each applicant meets the necessary requirements and standards
− Conduct and organize student/parent program interviews
− Distribute and communicate final admissions decisions/acceptance letters
− Provide regular updates on admission status and program coordination to the Manager of Operations and Outbound Program and Marketing Manager
− Assist the Outbound Program and Marketing Manager to progress preliminary applicants to the next level of the application process
− Communicate and liaise with international exchange partners regarding program specifics and send accepted student profiles. Ongoing communication with the exchange partners is required to coordinate the program, in country orientation and arrival details.
− Communicate program details and essential documents to participating students and parents; sending regular communications to participants
− Manage the outbound student program expectations and provide support and assistance services to parents and students both prior to exchange and while abroad
− Relay program information and details to students and parents
− Monitor students success while abroad and handle any issues that arise, communicating with foreign agent to mediate problems and delivering updates to parents.
− Schedule and host pre-departure orientations for participating students
− Keep documents up to date (applications, admissions reference binder, student lists, contact lists etc.)
− Create, write and/or update documents for students relating to travel, visa requirements, guide books and manuals.
College or undergraduate degree in related field (Travel and Tourism, Hospitality, Communications, Administration)
Experience in sales, HR, or admissions
Experience working with high school students, parents and/or international clients is an asset
Excellent communication and interpersonal skills
Strong written and verbal communication skills
Strong ability to handle sensitive information and conversations
Strong organizational skills are required
Great capability to mediate, problem solve and remain calm under pressure
Demonstrated commitment to providing outstanding customer service
Ability to work independently or as part of a team
Ability to work under pressure and within tight deadlines
Excellent ability to multi-task and prioritize tasks
Strong attention to detail
Highly skilled in the use of Microsoft Office, particularly Word, Excel and Powerpoint.
Fluency in French is an asset.
Must have a driver’s license.
Job begins immediately.
The position is full time with a schedule consisting of a minimum of 40 hours per week. Flexibility is required, work outside standard hours and on weekends can occur. Successful applicants must demonstrate willingness to work flex-hours.
