The Whitecap Dakota First Nation, located 26 kilometers south of Saskatoon, requires the services of an Administrative Programs Coordinator (APC). This is a full-time, permanent position in the Band Administration office.

POSITION SUMMARY:

The APC will coordinate the day-to-day operations of the organization and support the Program Directors and Managers in these areas: Administration and Operations, Human Resources, Education, Justice, Membership, Health & Social, Housing & Public Works, Finance, Lands and Economic Development. Reporting to the Support Services Manager, responsibilities include:

 Coordinate meeting logistics for Executive, Community and Committee meetings: venues, agendas, meeting kits catering, audio-visual, and boardroom preparation (includes taking minutes as required);
 Coordinate facility usage arrangements for Whitecap facilities as directed;
 Act as executive assistant to the two Councillor positions and General Manager as required: field external calls and emails, assist to coordinate calendars;
 Coordinate travel itineraries (flights, hotels) for Councillors, Executive and departmental staff;
 Coordinate Human Resources functions as required: preparation of personnel letters, memos, and job descriptions, electronic posting of job ads, collect applications and coordinate interviews;
 Maintain community database and produce Community statistics reports as required;
 Perform security-related functions for all designated Whitecap facilities: maintain keys and codes and dialogue with security company;
 Prepare, review, edit, fax and photocopy various correspondence;
 Monitor office equipment and prepare office supply orders to re-stock inventory;
 Maintain telephone system via computerized software and coordinate issuance and programming of telephones for administration office;
 Provide daily receptionist relief and provide coverage when the Receptionist is absent;
 Assist with daily distribution of incoming mail and correspondence;
 Maintain central filing system; and
 Any other related duties that may be assigned.

SKILLS AND QUALIFICATIONS:

  • Secondary school diploma; post-secondary education preferred
  • 3-5 years related administrative support experience
  • Possess advanced Microsoft Office skills
  • Ability to meet deadlines in a fast-paced office environment
  • Work independently and as part of a team
  • Ability to verify and proofread documents for consistency and accuracy
  • Ability to prioritize and exercise tact, confidentiality, and professionalism
  • Knowledge of Dakota culture and First Nation organizations is preferred
