Position Summary

The Office Services Assistant reports to the Office Manager and is responsible for ensuring the meeting rooms, boardrooms, kitchens and satellite copy stations are cleaned, tidied and well stocked at all times. In addition, the Office Assistant will provide coverage for the front reception desk and mail room as required.

Essential Duties and Responsibilities

Boardrooms:

  • Blinds all at same height
  • Chairs all at same height and pushed in
  • Board tables, credenzas and chairs dust free and tidy
  • Remove cups and dishes after meetings and replace with clean cups and dishes
  • Stock servery kitchen with supplies
  • Prepare boardrooms for meetings, deliver catered lunch if required, set up beverage options
  • Ensure supplies are maintained in boardrooms

Reception:

  • Provide daily reception coverage for breaks and lunch or when the Administrative Assistant is required to be off the desk for other tasks
  • Greet clients in a friendly professional manner
  • Provide reception relief when Office Administrator is on vacation

Mail room and printer stations:

  • Mailroom coverage for holidays and assisting when required particularly quarter end
  • Stock satellite supply areas with basic stationary requirements
  • Advise Administrative Assistant of stationery supplies that are running low
  • Stock copiers with paper at days end
  • General office assistance when required
  • Water plants as necessary

Kitchens and coffee stations:

  • Unload and load dishwashers
  • Maintain clean tidy order on counters

Specific Knowledge, Skills and Abilities

  • High school diploma
  • Friendly and helpful
  • Flexible and able to prioritise a changing to do list
  • Detail oriented and accurate
  • Trustworthy and reliable
  • Self-motivated
  • Articulate and a good communicator
  • Solid verbal communication skills
  • Skilled in using a computer (especially Word, Excel and MS Office)
  • Able to work in a team environment
