Reporting To: Community Manager

Position Summary:

Performs a wide variety of community building, administrative and leasing duties to assist the Community Manager in the execution of his/her duties including leasing inquiries, updating vacancy and traffic reports, performing inspections, assisting in the resident renewal process and other duties as assigned by the Community Manager.

Key Responsibilities:

  • Provide excellent customer service to all stakeholders
  • Ensure signage is properly displayed and property aesthetics are in good order
  • Address phone calls, and respond to email and walk-in rental enquiries
  • Schedule and complete suite showings with prospective residents
  • Process applications for prospective residents – ensure credit information, landlord and employer references are correct and complete
  • Notify prospective residents regarding status of application – approved or declined
  • Enter/set-up guests and new residents in database
  • Prepare move-in files – ensure all appropriate documents, cards and keys are enclosed
  • Schedule and complete move-in and move-out inspections with residents
  • Perform annual inspections of town homes as required
  • Update Vacancy Reports and Traffic Reports, and provide Community Manager with appropriate information
  • Assist Community Manager in administrative tasks as required (security deposits, leases, complaints)
  • Ensure compliance with the Residential Tenancies Act in all procedures
  • Ensure local, provincial and federal laws and regulations are being observed within the community
  • Ensure comprehension and compliance with all Westcorp Property Management Inc. Playbook policies
  • Other duties as assigned by the Community Manager

Required Skills and Abilities:

  • High school graduate
  • Post secondary education is an asset
  • Two years relevant experience
  • Strong interpersonal and organizational skills
  • Exceptional communication ability, both written and verbal
  • Proficient computer skills and knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Highly organized, results oriented and ability to work in a multi-functional team environment
  • Proven customer service and resident relation skills
  • Must be flexible and willing to change roles or responsibilities as required
  • High degree of professionalism and dedication as well as a passion to deliver sensational customer service to all stakeholders
  • Must have own vehicle and valid driver’s license
  • Security clearance required upon offer of employment
  • Possess sensational customer service philosophy
  • Highly organized, results oriented and ability to work in a multi-functional team environment
