Vancouver luxury car dealership seeks a fun, energetic and highly personable receptionist and administrative assistant with previous experience. The receptionist manages the day to day business of the reception area as well as holds responsibility for some forms of communication and response to customers. For this reason, the candidate must possess exceptional communication, organizational, and multi-tasking skills. The chosen candidate will be working in the showroom; therefore, acting as a first point of contact for visitors.

This job is Monday to Friday from 9am to 5:30pm. Position start date is August 20, 2013.

Duties and responsibilities include, but are not limited to:

- Answers incoming calls, determines the appropriate action and refers calls
- Documents flow and handling
- Petty Cash/Money Collection
- Offer fresh coffee and espresso to visitors
- Checks, clears and distributes mail, faxes and couriers items
- Records, circulates and updates company information as needed
- USe company CRM programs
- Organizes courier pick up per request
- Schedules appointments and meetings
- Work closely with the service and parts department
- Reminds customers of service appointments
- Create and print invoices
- Create and print sales cards for vehicles
- Determines quantity and orders stationary and supplies as needed
- Provides clerical and administrative support to others as deemed necessary
- Provides support for various company events
- Manage social media channels in collaboration with the marketing department

Successful candidates will possess:

- Minimum 12 months related experience
- Positive and vibrant attitude to welcome visitors to the showroom
- Strong ability to work in a fast paced, team environment
- Excellent computer skills (Microsoft Office – Word, Excel, Outlook, Internet Explorer)
- Flexibility to adapt with last minute changes
- Strong organizational and administrative skills
- Excellent multitasking, organizational, time & project management skills
- Professional phone and email manners
- Good customer service skills
- Superb attention to detail
- Ability to interact at all organizational levels
- Ability to work with minimum supervision
- Professional image and demeanor
- Written and spoken Mandarin or Italian an asset
