Director of First Impression

About the Job:
You will manage the front desk and be the first contact person for all company’s clients and guests. You are responsible for creating a positive first impression whether it is over the phone, email or in person. Your typical duties will include but not limited to the following:

  • Operate the telephone system, answer and transfer incoming calls, take messages
  • Greet guests and clients as they arrive
  • Coordinate meeting requests with clients, book meeting rooms, set up AV equipment
  • Handle and distribute incoming/ outgoing emails and faxes;
  • Print and organize all mailing campaigns; complete mail merge and Canada Post forms
  • Input client information, listing information, seller and buyer information and other key parameters on various database
  • Distribute monthly e-newsletters and press releases electronically
  • Provide general office administration support (send employee communication when required,

travel booking, restaurant reservation etc)

  • Create, file and organize client files and create electronic copies
  • General office organization and maintain cleanliness of the office area


  • Enthusiastic, pleasant, friendly personality, ability to take initiative and anticipate the needs ahead of time are highly desirable qualities
  • Experience working in Real Estate Brokerage is highly desirable
  • A diploma or certificate in business administration or marketing will be considered an asset
  • Experience in a Reception / Administrative Assistant or CSR role in a real estate brokerage setting will be considered an asset
  • Familiarity with the Internet and cloud based software and application
  • Excellent telephone etiquette and effective oral communication skills
  • Flexibility and a willingness to assist with other general admin duties within the office as a team player
  • Strong attention to detail and highly organized
  • Ability to multitask and prioritize effectively
  • Excellent time management and organizational skills; a pro-active problem solver
  • Experience using Mac and Google Apps platform will be considered an asset
