CLASSIFICATION / LEVEL – Program Administration - Senior Level
LANGUAGE – Intermediate
SECURITY – Level II (Secret)

- Minimum of five (5) years of experience with Claims-X, WordPerfect, MS Word, Excel, Microsoft Outlook, PowerPoint and CCM Mercury

- Minimum of five (5) years experience of Office Administration

- Knowledge of the roles and objectives of the Department of National Defence and the Canadian Forces

- Knowledge of Government and Departmental security policies, practices, and guidelines pertaining to document handling and forwarding material


- Conduct background research and information collection in preparation for upcoming meetings and requested submissions

- Assist in preparation of briefings, reports and presentations

- Monitor progress of operational returns at the Divisional Level

- Manage Director General calendar, constantly determining priorities, re-organizing multiple tasks/work activities, resolving conflicts, and conducting follow up, as/when required within the CF/DND and with other agencies, including, but not limited to, other government departments, vendors, and external consulting firms

- Coordinate visit schedules and background information for Director General trips, presentations, meetings and speeches as required.

- Develop and produce travel itineraries and make travel reservations for Director General business outside the NCR

- Organize and maintain Director General daily agenda ensuring he/she attends all required meetings with applicable files in hand

- Manage flow of all information, both electronic and hardcopy, received by Director General, ensuring documents are sent to the appropriate location for action, and following up to ensure action taken is within established timeframes

- Investigate, analyse and resolve complaints and issues brought to DGIMO’s attention from internal and external sources, assisting managers and staff in the resolution of problems and/or concerns through the research of information and documentation and through consultation with various service organizations within and outside of DND/CF

- Monitor and report to Director General on the progress of activities

- Assist in managing the Temporary Duty (TD) request process for the Division, this includes but is not limited to the following: receiving requests, preparing them for Director General’s review/signature, requesting clarification from units when required, submitting them for approval by ADM(IM)/COS(IM) or other authorities as required, tracking progress of requests and completing the business proves of informing the initiator of the final outcome of the request

- Procure office supplies for DGIMO Office from approved suppliers

- Plan and coordinate hospitality events, as required by Director General

- Receive, screen, log and distribute incoming correspondence and materials, and maintain a bring-forward (BF) system
