Our government client is currently seeking an Executive Assistant with the following requirements:

-Secret Security Clearance
-Bilingual

MANDATORY CRITERIA

  • Secondary school diploma or an acceptable combination of education, training and experience is required
  • Minimum of five (5) years experience as an Executive Assistant is required
  • Certificate, diploma, or degree in a relevant field from a recognized post-secondary institution or an acceptable combination of education, training and experience may be required
  • Minimum of one (1) year of experience with the federal government, as an Executive Assistant, may be required
  • Minimum of three (3) years experience with the federal government
  • 3 years experience in the last five years organizing meetings and attendance at conferences and managing the schedule of a senior executive
  • 3 years experience in the last five years coordinating domestic and international travel and/or conference and/or hospitality arrangements in a government environment and in preparing the travel and/or hospitality claims
  • 2 years experience in the last five years in formatting and/or verifying briefing materials and/or documents such as ministerial correspondence and briefing notes

DUTIES

  • Managing tracking, logging all correspondence in the CCM Mercury
  • Managing calendars for Director General and senior staff
  • Organizing meetings for the Director General or as requested by the Advisor and teleconferences
  • Prepare meetings folders for the Director General
  • Supporting the Director General and the Advisor
  • Register outgoing/incoming mail
  • Performing document and file management functions, including e-filing
  • Photocopying
  • Updating phone lists
  • Boardroom set-up
  • Maintaining a system for routing and tracking ministerial correspondence, critical documents
  • Formatting all incoming and outgoing correspondence and proofreading and editing materials to ensure proper grammar
  • Planning meetings, making hotel and travel reservations for the Director General and senior staff in Travel Axcess
  • Processing travel claims and invoices
  • Shredding
  • Escort visitors
  • By-hand deliveries for internal/external
  • Answering requests about where files are
  • Answering the telephone and forwarding to appropriate person - take messages
  • Pick up mail at various locations in Gatineau or Ottawa on an when needed basis
  • Carrying-out any other administrative related tasking to assist the Director General, the Advisor and the staff
