Event Manager
The Libertine Public House is accepting applications for an In-house Event Manager, with a minimum of 2 years’ experience in event management.
Our events coordinator will have a passion for event management, provide outstanding customer service, develop relationships with guests and clients, be an enthusiastic professional, and have a keen eye for detail.

Responsibilities

  • Oversee all events within The Libertine Public House
  • Manage the in-house events calendar through Google Calendar, and Open Table
  • Respond to all phone and email inquiries in a timely manner
  • Connect with clients to identify event dates, discuss event details, venue setup
  • Meet with clients and event planners to conduct venue tours, and menu tastings
  • Prepare event paperwork outlining all of the event details
  • Provide clients with a budget breakdown, when necessary
  • Update the event binders and/or folders for each function
  • Follow up with each event host to obtain feedback
  • Communicate and coordinate with various departments to ensure our level of excellence is provided to all event hosts and guests
  • Work in unison with all departments to ensure effective team participation in event set-up, execution and strike down
  • Ensure that all event related materials are ordered/ rented, and stocked for major events (ie. linens, glass/ plate ware, special ordered products, etc.)
  • Provide training, supervision, direction and support to event staff, as needed
  • Utilize and update event procedures, and provide training on new policies/ procedures
  • Remain up-to-date with Open Table operations, and provide training to front of house staff
  • Complete a post-event survey to track feedback, and any instances of exceptional food/ service, as well as any problems that arose during the planning/ execution process
  • Follow up on annual events to discuss re-books for the following year
  • Work with office manager to monitor event bill payments, and outstanding invoices
  • Participate in management meetings as the Event Manager
  • Assist in the development of event related promotional material
  • Assist in the development of seasonal event packages
  • Take photos of major events for use on website, and social media outlets
  • Monitor and update the in-house calendar with upcoming events that are taking place in downtown Calgary

Skills

  • Self-motivated, and able to work both alone and in a group
  • A keen eye for detail
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Excellent communication skills, both verbal and written
