Mortgage Administrator Responsibilities:

  • Perform administrative duties to support mortgage processing requirements
  • Responsible for completing pre-qualifying process for all incoming mortgage leads from broker directly and from our in-house marketing programs
  • Ability to underwrite files with advanced knowledge of all A, B, deals and Private products available in Ontario
  • Prepare and ensure accuracy of files to submit to lender on behalf of broker
  • Must ensure all lender conditions are met and all deals are closed in a timely manner
  • Must follow in-house, brokerage and FSCO Compliance expectations on all mortgage files
  • Must ensure file maintenance through notes and organization
  • Liaison with clients, mortgage agents, lawyers, appraisal companies, creditors, and in-house debt settler to ensure all mortgage files are closed efficiently and within required deadline
  • Check and respond to emails and voicemails thoroughly throughout the day
  • Responsible for all fulfillment duties required for pre, interim and post-closing of mortgage files from Mortgage Broker/In-house Agents.
  • Responsible for reaching monthly quota


  • Must have Mortgage Agent and/or Administrator License
  • Must have experience as a Mortgage agent who has administered and performed underwriting on mortgage files with at least 5+ years in the mortgage industry
  • Post-secondary education required
  • Excellent English (Oral & Written)
  • Excellent Interpersonal/Communication Skills - both written and verbal
  • Excellent Sales and Retention Skills
  • Excellent Negotiation and Collection Skills
  • Excellent Customer Service
  • Must be able to cross sell services offered within TBGOC
  • Advanced knowledge of all A, B, deals and Private products available in Ontario
  • Must be organized and be able to multi task and prioritize tasks
  • Must be very detail oriented and have the ability to demonstrate efficiency
  • Must be able to work under pressure and handle files that are urgent
  • Good judgment and decision making skills
  • Good PC & Internet skills
  • Must have advanced knowledge with Microsoft Excel, Word, Power Point and Outlook
  • Must type a minimum of 55 WPM
  • Must be able to learn and follow current processes and system that are in place
  • Must be pro-active, take initiative and maintain a positive attitude
  • Ability to solicit and gain assistance where required, and maintain composure when dealing with difficult situations, in a professional manner
  • Commitment to quality & excellence when servicing clients & dealing with other parties and referral sources
  • Must have access to vehicle and adequate insurance
  • Must be able to sign up clients outside of office when necessary
  • Must be willing to work alternate shifts and evenings and weekends when necessary
  • Must reside in close proximity to office in Woodbridge
  • Must be able to attend Mortgage Division Networking Events and Seminars as well as all Corporate events
  • Shifts will alternate weekly: (Mon-Thurs 11:30 am-8:30p m, Fri 8:30 am–5:30pm) and (Mon 8:30am-5:30 pm Tues–Fri 11:30–8:30 pm)
