Maritime Region | Full-Time | Location: Halifax
The Executive Assistant, Maritime Region will be responsible for handling the day-today flow of internal and external requests and the administrative requirements of the Executive Director, Maritime Region. The Executive Assistant will also be responsible for the organization and minute taking for the Divisional Advisory Boards within the Maritime Region and committee meetings, as well as coordinating the calendar and travel for the Executive Director.
The Executive Assistant will be adept at understanding and anticipating the priorities and needs of the Executive Director and provide effective and timely confidential support while setting priorities or schedules to respond to organizational needs. The Executive Assistant will be responsible for planning and organizing meetings, teleconferences and will arrange travel, accommodation, media equipment and logistical planning for the Executive Director and Divisional Advisory Board of Directors meetings. He or she will draft written documents and edit correspondence including reports, letters, memorandums and also will prepare presentation materials, ensuring accuracy and appropriateness of presentation formats. The Executive Assistant will effectively use Raiser’s Edge for data input, query and reporting, while ensuring the accuracy of existing data. He or she will have the opportunity to liaise with a broad variety of key stakeholders including staff, volunteers, clients, donors, government/elected officials, health professionals, partners and media.
Required Skills and Experience:
The successful candidate will have a post-secondary degree or diploma in administration or a related field with a minimum of 2 years administrative experience, preferably assisting senior level staff. This individual will have an advanced level of proficiency in Microsoft Office with a strong emphasis on Word, Outlook, Excel and PowerPoint. He or she will have the ability to learn new technologies quickly. Familiarity with Raiser’s Edge is an asset. He or she will be a strong self-starter with proficiency at working independently with minimal on-site supervision. The successful candidate will have experience coordinating and managing multiple projects and will have strong organizational, problem solving and judgment skills. The candidate will have exceptional verbal and written communication skills with a strong focus on stakeholder needs and effective customer service skills. He or she has demonstrated initiative, a high degree of accuracy and ability to handle multiple and changing priorities. Ability to execute duties with tact and diplomacy while maintaining strict confidentiality is a must.
