Facility Technician

Reporting to the Manager, Administration Services, the Facility Technician/ Office Service Associate is responsible for performing general maintenance duties, office furniture moves and minor repairs. In addition, the Technician will provide back up to the various areas of Administrative Services, which includes mailroom and various other tasks. Scheduled hours of work: Monday to Friday 9:00am to 5:00pm. The incumbent must be flexible in their work schedule as per operational demands.

Main Responsibilities

  • Places service calls and co-ordinates with building management for problems related to facilities.
  • Performs general maintenance tasks as required and provide maintenance on small office equipment/furniture, being proactive during regular office inspections.
  • Controls issuance and deletion of security cards, including building passes and parking garage keys. Liaise with Security Company.
  • Verifies and follow ups on all maintenance invoices, following established procedure and Company policies.
  • Sets up meeting rooms. E.g. Configuration, beverages etc.
  • Places service calls on office equipment (i.e. photocopiers, telecopiers, etc.).
  • Organizes and supervises regular office and equip cleaning services with external vendors.
  • Assists in the organization and participate in office moves.
  • Supervises renovations according to specifications/plans.
  • Moves furniture and equipment and ensures proper functioning.
  • Installs furniture (including systems furniture) and provides minor repairs when necessary.
  • Place orders on items related to the position within the approved budget, following established purchase order system as well Company policies and standards.
  • Ensures requisitions and/or purchase orders are processed in a complete, accurate, consistent and timely fashion.
  • Manages facilities stock inventory ensuring environment is clearly organized, labeled appropriately while maintaining a safe work place.
  • Assists and cooperate with colleagues during peak periods, vacation times and special projects while maintaining personal workload.
  • Responds to and correct Health and Safety issues with regards to facilities in a timely manner.
  • Participates in the emergency team.
  • Provides positive and immediate response to clients.
  • Communicates progress and deadlines to all parties.
  • Ensures quality standards are met.
  • Collaborates and interacts effectively with all personnel.
  • Provides assistance to all personnel in the set up of their workstation to ensure ergonomic awareness.
  • Be available to participate in 24/7 maintenance/security response.
  • Controls and maintains off site storage.
  • Ensures floor plans are up to date.
  • Performs light cleaning duties such as required.
  • Reports and arranges for repair of any malfunctioning equipment in assigned areas of responsibility (including burnt out light bulbs) in a timely manner.
  • Place orders for all office service supplies (coffee, tea, milk, pop, juice, paper towels, etc.) within the approved budget, following established purchase order system as well as Company policies and standards.
  • Receives and inspects delivered goods for damage/discrepancies, and report shortages.
  • Store supplies in office services stockroom by code description upon arrival of goods.
  • Records goods received and delivered with appropriate file system and/or the inventory control system.
  • Ensures requisitions and/or purchase orders are processed in a complete, accurate, consistent and timely fashion.
  • Performs periodic physical inventory of the office services stockroom.
  • Provides positive and immediate response to clients.
  • Ensures all coffee stations, kitchen, fridges and cafeteria are adequately stocked with appropriate supplies (such as coffee, tea, milk, pop, juice, paper towels, sugar, filters and necessary utensils).
  • Cleans and maintain coffee stations, kitchens and equipment.
  • Ensures kitchen has an adequate supply of glasses, dishes and utensils at all times.
  • Distributes all memos, communiqu├ęs and job postings as directed, and maintain presentation boards.
  • Maintains positive relationships with suppliers and vendors.
  • Provides cost effective measures. (Suppliers).

Qualifications

  • High School Diploma or equivalent.
  • Diploma/Certificate in related field an asset.
  • Meeting and Event experience an asset.
  • House keeping experience an asset
  • Experience in Building Maintenance and construction would be an asset.
  • Experience with office equipment would be an asset.
  • Ability to interpret working drawings/blueprints.
  • Solid working knowledge of Microsoft Word, Excel and Outlook.
  • Strong organizational and time management skills; effective prioritization.
  • Detail and service oriented.
