Job Title: Project/ContractAdministrator

Location: North of Fort McMurray

Shift: 14 Dys on, 7 Days off - Camp and flights provided

Reports to: Construction Manager

The Project/ContractAdministrator assists the project team with all necessary correspondence, information tracking, daily payroll/client invoicing and project reporting to support contractual requirements. Specific responsibilities include, but may not be limited to the following:

- Daily entering of man hours and equipment into Work Ticket
- Provide monthly man-hour count to safety for their monthly client report
- Ensure Work Tickets are reviewed and accurate prior to forwarding to management and client for sign
- Weekly compiling of client invoicing backup and forwarding to head office for invoicing
- Data entry into various tracking logs as assigned
- Ensure new hire packages (direct and indirect) have completed D & A Testing and CSTS prior to arriving on site
- Ensure new hire packages (direct and indirect) are completed and forwarded to payroll at head office
- New hire packages include: Streamline commencement form, void cheque/banking information, dispatch slip, copies of certificates including CSTS and all training, driver’s license, copy of D & A test result
- Maintain personnel files on each employee ensuring they are kept in a secure, locked place
- Ensure proper employee termination (direct and indirect) procedure is followed: complete Streamline termination form and final timesheet is signed off by management and forwarded to head office
- Ensure that any payroll exceptions are tracked (ie: night shift premiums, reimbursements, holidays, terminations, new hires)
- Receive, book and track all accommodations/travel requests for project
- Typing up quotes, letters and other correspondence as assigned
- Maintain Purchase Order Log, ensure PO’s are distributed per Purchasing Procedure
- Assist the Equipment Manager with tracking updates to and general maintenance of equipment files, data entry for Equipment Maintenance from Equipment Service
- Update and maintain all forms and contact lists as necessary
- Complete and maintain all necessary filing
- Attend all necessary meetings, prepare and distribute Meeting Minutes
- Prepare and distribute all necessary daily, weekly and monthly reports as required by the Company and the Client

Required Knowledge

- General Knowledge of Industry practices and procedures for construction site offices

- General knowledge and experience with construction contract terms and conditions

- General understanding of Payroll procedures

Required Skills

- Proficient with Microsoft Office Applications, including Excel, Word, Outlook

- Excellent typing/data entry skills

- Conscientious attention to detail and accuracy

- Ability to work independently and follow direction
