Administrative Assistant

The candidate must be results orientated and have the demonstrated ability to effectively prioritize workflows and schedules coupled with the ability to maintain a calm composure and apply independent thinking all while maintaining a position of helpful service.

Key Responsibilities & Accountabilities:
- Primary support to the Manager& assistance to the department;
- Conserve Executive time by reading, researching and routing correspondence, drafting communication and technical documents, collecting and analyzing information and initiating communications;
- Perform invoicing, becoming subject matter expert with the project management tool,
- Assist in the preparation of business presentations and fee proposals
- Conduct follow up communication with members of management on various items as directed;
- Demonstrate experience handling sensitive information requiring a high degree of confidentiality and discretion;
- Maintain Executive appointment schedule by planning and scheduling meetings, conferences and teleconferences
- Manage small projects independently and advise the Manager on status where required
- Provide backup assistance to reception (breaks/vacation);

Education & Experience:
- Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Access, Outlook),
- Knowledge of AutoCAD, and Adobe;
- Minimum 3-5 years experience of Senior level support,
- A 2-3 year degree from a recognized College or University in Administration, Interior Design or related discipline is required
