TITLE: Administrative Assistant – Accounting

LOCATION: Engineered Products Division - Ancaster

REPORTS TO: Controller

Responsible for the timely and accurate maintenance of Accounting systems.

 Accurate and timely information is available to all relevant personnel with respect to:
 Overhead costs
 Tooling costs
 P&L
 Payables and receipt information are accurate
 Organized and accurate records of Operational and Accounting data is kept on file at all time

 Accounts Payable:
 Match signed packing slips with PO’s and enter receipt into accounting system
 Match invoices with packing slips
 Verify the correctness of the invoices and enter into accounting system
 Follow up on any discrepancies internally and with suppliers, as required
 Enter non-purchase order expenses to accounting system (such as freight, brokerage etc.)
 Review month-end packing slip accrual for goods received not invoiced, follow up with buyer or supplier as appropriate.
 Prepare miscellaneous accrual at month-end for goods and services that are not received or processed in the accounting system
 Reconcile statements from supplier and audit confirmations.
 Reconcile payables issues (internal and with suppliers)
 Accounts Receivable
 Print invoices
 Match invoice to shipments and check for accuracy (pricing, signatures, etc.)
 Prepare and enter journal entries
 Prepare monthly balance sheet reconciliation binder
 Maintain detail capital cost information by project in Excel
 Ensure daily filing is completed as required
 Work in compliance with Stackpole EP Safety, Environmental, and Quality Systems
 Perform other duties as required


 Relevant industry experience with appropriate systems knowledge
 Knowledge of basic accounting
