Somfay Masri Architects Inc.- Waterloo

Somfay Masri Architects Inc.- Waterloo is seeking an Office Coordinator / Administrator to assist in the coordination of the office operations and procedures and oversee a number of functions and tasks that relate to the office administration. SOMA operates in a busy, open area office studio and there are a number of deadlines associated with this position. The candidate must be organized, and well equipped to multitask with efficiency, accuracy and focus. The Office Coordinator reports to the Principal Architects and is responsible for the following duties and responsibilities:

  • Office administrative and clerical duties,
  • Project related administrative duties,
  • Assistance in marketing related matters,
  • Assistance in client service,
  • Assistance in professional and OAA matters,
  • Provide support to various office staff,
  • Up keeping office standards and policies,
  • Maintaining office administration records,
  • Provide support to book keeper, IT manager and receptionist,
  • Office liaison,
  • Purchasing,
  • Maintaining and archiving office records,
  • Assistance in human resource duties,

The candidate must have proficient knowledge in the following areas:

  • a degree in business, marketing or equivalent,
  • minimum 3 years administrative and supervisory / coordination experience in a design office,
  • excellent interpersonal skills,
  • team building skills,
  • analytical and problem solving skills,
  • knowledge of human resources management practices and procedures,
  • effective verbal and listening communications skills,
  • attention to detail and high level of accuracy,
  • very effective organizational skills,
  • effective written communications skills,
  • computer skills including MS office at a highly proficient level and adobe products,
  • be honest, trustworthy and possess cultural awareness and sensitivity,
  • demonstrate sound work ethics along with flexibility and adaptability,
  • knowledge of accounting, data management, website up-keep, photography is a plus.
