Responsibilities & Duties (include, but are not limited to):
o Acting as a first person of contact, you will be handling incoming inquiries from internal and external business partners and customers
o Operating the main phone lines and re-directing calls.
o Managing multiple email accounts
o Processing Online orders
o Greeting and directing visitors, handling incoming and outgoing mail and ordering maintaining of office inventory.
o Coordinating telephone system maintenance with the phone service provider including changes/updates to the system, holiday messages, and company mailbox, as well as supporting staff members with regards to the telephone system.
o Planning/coordinating events and meetings including meeting venues, technologies and other communication tools; catering; accommodations and travel; managing meetings onsite, and preparing and distributing agendas, supporting documents and minutes.
o Preparing reports, memos, letters, spreadsheets and other documents as required.
o Updating Manuals on a monthly basis
o Coordinating and compiling important Marketing packages
o Managing customer concerns and warranty issues via telephone and e-mail
o General housekeeping (keeping front, kitchen and boardroom areas clean and tidy
o Providing other related administrative support as required
o Ability to maintain and foster customer relationships over the phone and via e-mail
o Ability to demonstrate the necessary skills to generate opportunities and take clients through a service cycle and ensuring that complete customer satisfaction is achieved
o Strong critical thinking skills and the ability to problem solve
o Excellent communication skills (both written and oral)
o Strong organizational, time management and communication skills
o High energy level, high degree of self-motivation, and a cheerful, positive attitude
o Proficiency in Microsoft Excel and Word is a requirement
o Excellent computer and internet skills are required
o Professional writing skills
o Ability to multitask and prioritize in a high paced environment
o 1-3 years of work experience in the customer service industry
o Strong attention to detail
o Bilingual (French and English Speaking) is an asset
o Identifies and analyzes problems; distinguishes between relevant and irrelevant information.

Compensation and Benefits
o Salary range is approximately $40,000-$45,000 per year; based on skills and experience.
