Reporting to the Managing Director, the Administrative Assistant is responsible for providing administrative support to him and assistance to the team when required. This position is a crucial element to the team the individual that is selected will need to have passion and drive for their work. To be able to follow direction, learn quickly and pay attention to detail.

Responsibilities & Duties (include, but are not limited to):
 Provide administrative support as required to the Managing Director for 8 to 10 businesses
 Maintain and update meetings and travel schedules
 Proactive calendar management
 Prepare and distribute letters, agendas, meeting minutes and reports
 Maintain departmental contact information.
 Maintain departmental file and information systems including action item records for
 Data entry into project management systems and schedules
 Coordinate printing and preparation of department materials
 Coordinate meeting room requirements for senior management
 Word Processing and PowerPoint presentation preparation
 Gathering and disseminating information for formatting and designing correspondence, client presentations, spreadsheets; support other members of the executive team as needed.

 Create and maintain excel spread sheets
 Reviewing contracts
 Proof Reading
 Scanning/reviewing, replying to e-mails

Requirements:
 Intermediate to Advanced MS Office, including MS Word, Excel, Gmail and Outlook
 Attention to detail accurately
 Works well under pressure
 Ability to think on the spot, formulate ideas quickly and get them on paper
 Strong ability to multi-task, ability to deal with conflicting priorities, ability to think proactively demonstrating strong independent initiative
 Strong Time Management , Planning and Organizing Skills
 Ability to create flow charts, timelines
 Ability to read and understand legal documents
 Ability to work a Smart phone – be able to compose and send emails, conduct internet searches
 Excel in a high paced environment where 5 projects due in 48 hours.
 Professional business attire at all times
 Flexible and ability to work over time if required.
 Diploma or Degree in Business Administration with, or equivalent
 At least 1-3 years of experience in an administrative assistant role

Hours - 8:00am- 5:00pm Monday to Friday
