Primary Accountability

Reporting to the Chief Operating Officer (COO) and indirectly to the Executive team and to the leadership team of Operations, your primary responsibilities will include, but are not limited to:


  • Calendar and e-mail management for the COO
  • Calendar management for the COO’s direct report VP’s
  • Track key commitment and ensure notification of upcoming deadlines
  • Book various meetings and coordinate catered lunches as required
  • Maintain a multitude of reports in Excel
  • Maintain the Operations org chart and workforce plan
  • Update and distribute weekly agendas for various meetings
  • Corporate goal tracking and communication to staff of these goals
  • Gather information from teams and prepare internal and external PowerPoint presentations
  • Gather information from the teams for Monthly Reports
  • Maintenance of the COO’s contacts and filing
  • Maintenance and coordination of the COO Team Site
  • Complete expense reports for COO
  • Code and process invoice payments for approval
  • Create and format various correspondence including confidential letters and memos
  • Liaise with all departments within the company including the field offices
  • Maintain communication with field admins for better alignment of field and head office
  • Work cohesively with other Executive Assistants
  • Assist as needed and directed by the Executive team


As the successful candidate you have a minimum 10 years Administrative Assistant experience, of which, 5 years is in an Executive Assistant position. Previous Administrative experience in the oil and gas industry is preferred. Post-secondary education in administration would be an asset but not required. Proficiency in Microsoft Office applications specifically, Microsoft Word, Excel, Outlook, PowerPoint and Visio is a must. You thrive on working in a fast paced team environment and have the ability to communicate effectively (both written and verbal communication) with internal and external stakeholders. Along with a high level of confidentiality and discretion you will have a can-do attitude, be proactive, organized, detail oriented and have the ability to multitask.
