Overall Project Description
This important and complex project combines the challenge of transforming a large occupied workspace with the requirement of no disruption to the daily business of SAP. This very visible project involves the change-management human aspects as well as the hard aspects of scope, schedule, budget, and adherence to global guidelines. By working with local and remote decision makers, management of the program will be to determine which areas will be modified and upgraded, retained as-is, removed, and/or used as interim space during the project cycle. A critical date exists in 2013 to make the decision of space reduction, and the anticipated end result is to reduce approximately 23,000 sq.ft.

SAP currently occupies 222,917 R.S.F. on (3) floors (1st, 2nd, 3rd) and desires to downsize on the 1st floor for a new total of 200,000 R.S.F - included in the 1st floor reduction, SAP will close a 7000 RSF data centre. In addition the remaining occupied space will be renovated to provide more collaborative areas and teaming spaces for the employees. Although much of the floors will remain intact these select areas will be upgraded and will include demolition, HVAC changes, wall construction, and finishes, data and FF&E installation. The Program Manager is expected to determine the scope and ensure that the work is implemented to the highest standards of quality and local code compliance with minimal disruption. Careful scheduling and planning needs to be undertaken to coordinate the design and construction activities within the existing occupied spaces.

Vancouver Program Manager
The Program Manager is responsible for delivering quality products and solutions by understanding the strategy and customer needs, developing business requirements to enable the delivery of the space whilst ensuring business criteria is met. The Program Manager will facilitate the project, gather requirements and process development. Working with project vendors, the PM will be responsible to provide technical oversight to ensure business requirements are met, monitor project plans, manage budgets, align resources and manage change.

Job Description: The Program Manager will perform all of the following Job description:
 Provide services consisting of discovery and programming, scheduling, budgeting, expediting and overall program management services for the renovation project. It’s required that the Program Manager maintain single point coordination in all aspects of the project and effectively manage a unified project path to ensure that all disciplines are exchanging the proper information and meeting critical deadlines.
 Be a lead point of contact and liaison, collaborating closely with GFM personnel, Execs, local teams and internal resources.
 Lead the resources necessary to successfully coordinate the delivery of the design, construction and ultimately the occupancy of upgraded space.
 Develop and lead initial teams members made up of both GFM and professional partners to determine Scope of Work wherein team members work closely with respective line of business partners. Participate in the review of: Project Prospectus (Systems Requirements Analysis), Project Delivery Specs, User Procedure Documents.
 Direct local teams and lead alignment of priorities.
 Reports of project progress, issues and key decisions required weekly.
 Responsible for written communication and continuous follow up throughout the project. Communicate to local users, in partnership with regional GFM management and local stakeholders.
 Provide leadership and guidance to ensure that scope is met on schedule and within budget.
 Develop project and restack plans for the occupied space, timelines and identify obstacles and solutions.  Support and solicit input from project team and end user group that will result in direction on furniture solutions, protocols and policies and other aspects of the utilization of the space. This input must come prior to the start of design schematics and, then again, after preliminary designs are presented, to ensure this detail can influence the design.
 Upon receipt of the Architectural and engineering drawings from the architect, the Program Manager shall review to ensure it meets SAP’s design criteria, the landlord’s general requirements and the lease sections relating to tenant improvements and construction prior to submittals to Landlord and approval authorities.
 Assess skills, knowledge, and abilities of vendors to help determine most qualified vendors and ensure best return of investment.
 Assist with the Bid Preparation and Review Process, including any and all responses to bidders’ requests for more information and SAP’s request for clarifications to the bidders. Also make recommendations for award of GC, cabling, AV, Move and furniture vendors’ contracts.
 Lead value engineering studies to reduce estimated projects costs and prepare risk assessment submittals as required.
 Work with Global Facilities Management and Global Procurement for creation and issuing of all RFP’s and insure necessary purchase orders are in place according to project schedule.
 Provide administrative management and related services necessary to schedule, sequence and coordinate the work of all suppliers associated with this project.
 Provide and maintain bi weekly documentation for the project capital and operating budgets.
 Review of payment applications and change orders.
 Notify of any schedule changes before approving them. Update the master schedule with any changes that become necessary and are approved by SAP.
 On-site observation – Make recommendations and troubleshoot project issues in a timely fashion.
 Prioritize & develop Action Plan to ensure long lead items are managed for both schedule & budget.
 Observe construction quality, accuracy and adherence to schedule at least once per week and more often when reaching critical timeframe.
Data Center Closure Component
 Oversee Data Center closure projects, particularly related to building infrastructure.
 Coordinate with Global GFM Data Center specialists.
 Coordinate all logistics with data centre project team.
Minimum Requirements/Knowledge/Skills
 10+ years of related project/program management experience in financial project analysis, working knowledge of critical path methodology and project management
 Critical thinking with quick assessment, judgment, and ability to make recommendations.
 Proven recent track record of successfully managing corporate renovation projects of similar scale and complexity. Prefer experience of working with an occupied location.
 Proven ability to deal with senior management and respond to varying management styles.
 Excellent consultative, listening, communications and analytical skills.
 Effective interpersonal skills, including the ability to influence and negotiate effectively.
 Experienced in demonstrating leadership and collaboration.
