Title: Events & Ticketing Assistant
Type of Position: Contract Position - September 1st, 2013 - January 31st, 2015
Location: Richmond Hill, Ontario

Rugby Canada (RC) is the national sport organization committed to the domestic development and international success of Rugby for Canada.


Work as a member of Rugby Canada to help plan, organize and deliver all events and competitions in Rugby Canada's 2013-14 season calendar. Additionally, the individual will support a ticketing program to meet financial projections for 2013-14 ticketed events and initiate strategic planning for 2014-15 ticketed events.


Reporting to the Manager, Events, the Events & Ticketing Assistant (the "Assistant") will provide support to two integral components of Rugby Canada's commercial operations. While supporting the Manager, Events, the Assistant will support all aspects of Rugby Canada events and competitions. The role includes planning and execution of all National Team games, as well as the coordination of all National and Provincial tournaments.

The role also involves assisting the Manager, Events by driving Rugby Canada's ticketing program for all required 2013-14 events and providing additional support in the area of sponsor and VIP services as related to ticket fulfillment and promised deliverables. Towards the end of 2013, the position will shift focus to strategic planning for 2014 ticketed events. The Assistant may also support Rugby Canada's international ticketing program.


Events & Competitions

  • Competition services

o Planning, organizing and execution of all logistics for Provincial, National and International tournaments held in Canada
o Creation of tournament concepts that engage the rugby community, offer development pathways and promote rugby in Canada
o Scheduling of all tournament games
o Creation and tracking of training schedules
o Coordination of training facilities (practice fields, gyms, pools, etc)

  • Event services

o Planning, organizing and execution of all logistics for the event and ancillary events
o Liaise with team managers to ensure their needs are met
o Assistance in the creation, preparation and delivery of promotional initiatives
o Assist with planning and execution of legacy events, fundraising events and other ancillary events, as required

  • Game Day Operations

o Preparation of run sheets and assistance with timing management to keep all activities on schedule on gameday
o Team management, ensuring teams are where they need to be at all times
o Preparation of venue set up map & execution on gameday
o Management of all volunteers (orientation, job assignment, game day supervision & post event recognition)

  • Youth development

o Planning and execution of youth clinics throughout Canada, focusing on increasing awareness of rugby amongst youth while also promoting Rail Safety through partnership with CN
o Develop strategies to promote to target groups and effectively reach junior grassroot rugby communities

  • Review

o Critically analyse every event/competition and complete post event/competition wrap up reports which outline the Strengths, Weaknesses, Opportunities and Threats of that event
o Create a strategy which will address the findings of these reports and can be used to improve these events in the future


  • Assist in developing ticketing strategy and promotions as outlined in the ticketing strategic plan

o Work with Provincial Unions to reach out and solicit rugby clubs
o Develop up to date lists of high school and secondary schools with rugby programs
o Work with Rugby Canada Communications and Promotions team and external agencies on ticket promotions/awareness events

  • Assist with ticket sales and distribution

o Solicit orders from present and prospective customers
o Maintain ticket sales reports, inventories and provide analytical data for each event
o Ensure pre-sale tickets are delivered and received
o Provide support in the area of sponsor and VIP services as related to ticketing as well as the Alumni members, board and staff

  • Ensure utmost quality customer service at all times

o Support a positive customer experience at all times
o Develop, recommend and present solutions to customers with ticket issues


  • Strong interpersonal and organizational skills
  • Bachelor's Degree in Business or Sport Management
  • Detailed knowledge of the sport of rugby, and a minimum of 4 years involvement with the sport at a high level
  • Minimum 6 months working with a National or Provincial sporting organization
  • Minimum 6 months working in a Not for Profit organization
  • Ability to work and excel under pressure in a fast-paced and challenging environment
  • Excellent communication, presentation and listening skills
  • High level of integrity in dealing with customers and ability to represent Rugby Canada in a professional manner
  • Strong prospecting skills and building customer relationships
  • Ability to balance the needs of customers with the needs of the business
  • Proficiency in Microsoft Office programs (Excel, Word, PowerPoint) a must
  • Willingness to travel frequently to various locations for work
  • Must be capable of working independently as well as in a team atmosphere


Compensation will be provided bi-weekly and based on 40 hours per week at the rate of $15.00 per hour.

Contract amount: $15.00 per hour based on 40 hours per week
