Our client, with a portfolio of over 3 million sq. ft. comprising of retail, commercial, industrial and mixed use properties is looking for a Property Administrator to join their team in Toronto. Their services cover the continuum of property ownership, starting from project proposal, acquisition and development, to leasing, property management and asset management.

Selected Core Duties & Responsibilities (but not limited to):

  • Issue and track purchase orders, assist with quoting process, manage building access systems, communicate with contractors;
  • Update and maintain current notes in tenant file in Spectra, Maintain and keep Insurance Certification for tenants
  • Assist with the preparation of quarterly reports as directed by the Property Manager, assist with the annual budget process for assigned portfolios, review accounting comments on variance and respond on discrepancy on variance reporting;
  • Code and match received invoices with the purchase/work orders, assist with tenant charge-backs, monitor accounts receivable, follow up on arrears and issue reminders and default letters of notices;
  • Rent Cheques - responsible for receiving, logging, and forwarding cheques to accounting;
  • Understand and be familiar with lease terminology, be able to extract lease details from leasing documents, be able to read and understand leases to ensure accurate information is received and maintained;
  • Prepare and distribute letters to tenants, liaise with tenants and contractors, and other duties as directed by the Property Manager

Qualifications:

  • 3 to 5 years' experience in property administration or a commercial real estate environment
  • Proficiency with Microsoft Office, with emphasis on Microsoft Word, and experience with mail merging
  • Excellent customer service skills
  • Organized with high attention to detail
  • Complete tasks in a timely manner with minimal supervision
  • Ability to adapt and work in a high-paced environment
  • Excellent problem solving, written and verbal communication skills
  • Self-motivated, professional, polite, with a cheerful disposition
  • Eager to share ideas and constantly searching for opportunities to improve our property management service
