Purpose:
The purpose of this role is to perform front end duties for fast paced commercial printing, greet various parties as they enter the office, as well as perform basic office and accounting administrative functions. Presenting a professional image, both in person and on the telephone, is very important. Good communication skills required. Reception:
Manage multi-company switchboard, routing calls as appropriate
Receive incoming couriers packages and prepare outgoing packages
Receive and distribute fax correspondence
Process daily outgoing mail using postage machine and retrieve incoming mail from post office including opening, stamping and sorting
Greet all visitors by offering refreshments, inform the appropriate staff of their arrival
Manage boardroom bookings
Assist with catering for meetings
Keep mailroom/kitchen tidy including loading and unloading coffee area dishwasher and making sure coffee is fresh for employees and guests
Open and close reception, responsible for locking doors at the end of the day
Maintain accurate records about the customer payment status
Office Administration and Accounting
Collection calls and Receive payments and post amounts paid to customer accounts./or correspondence in a fast paced goal oriented environment
Locate and monitor overdue accounts, using computers and a variety of automated systems.
Providing customer service regarding collection issues, resolve client discrepancies and short payments. Responsible for monitoring and maintaining assigned accounts- Customer calls, account adjustments, small, customer reconciliations and processing credit memos.
Enlist the efforts of sales and senior management when necessary to accelerate the collection process.
Must communicate and follow up effectively with sales department regarding customer accounts on a timely basis.
Establish and maintain effective and cooperative working relationships with dealers and sales.
Assist with administrative overflow and special projects from other departments as needed
Prepare daily, weekly and monthly reports
Manage monthly office supply orders and maintain appropriate quantities in reception stock room.
Other projects as required
QUALIFICATIONS AND ABILITIES:
Strong organizational skills, ability to prioritize and multi-task
Minimum 1 years Receptionist/Office Administrator experience
Exceptional customer-service skills and effective communication both verbal and written
Ability to work with minimal supervision
Experience with MS Word, MS Excel and Outlook, must be comfortable working with Outlook Scheduler & Task Manager
Administrative Education background is an asset, aptitude and passion for working with numbers a must
Essential Functions:
Weekly and monthly reporting to direct supervisor
Monthly Delinquency notices
Processing monthly credit memos and the appropriate reporting
High volume phone calls to assigned delinquent customers
Manage customers on the shutdown report
Reconcile customer disputes as they pertain to payment of outstanding balances that are due
Provide excellent & considerate customer service to dealers and sales
Internal and External customer interface
Participate in team planning meetings
Meet defined department goals and activity metrics
Skill Requirements: Education: Completion of high school, Completion of college/CEGEP/vocational or technical training, or some university Experience: Experience asset training is provided.
