Fast growing start up gas and oil company requires assistant to office manager. Minimum high school diploma, plus accounting level 2, 5+ years’ relevant experience in office environment, ability to use accounting software and MS Office

  • Meet and Greet of internal and external guests
  • Main Reception Duties, phones, mail, email distribution, updating company databases, etc.
  • Assists in resourcing and purchasing for special products, events and parties
  • Schedules appointments and meetings for executives and upper level staff
  • Manages staff and boardroom schedules
  • Orders and tracks office supply inventory and supply orders
  • Responsible for the general maintenance and cleanliness of the office
  • Excellent knowledge of email, scheduling, spreadsheets and presentation software
  • Other duties ad-hoc
  • IT experience is definite plus: at minimum, comfortable assembling computer systems (monitors, pc, speakers, data cabling, phone systems) Basic understanding of computer networking (TCP/IP), Windows Servers and Microsoft Exchange
  • Troubleshoot PC problems – such as nuances with Microsoft Office applications: Excel, Outlook, Word, and PowerPoint.

·match invoices to purchase orders or vouchers
·perform data entry tasks
·assist with the processing of Accounts Payable and Accounts Receivable

  • maintain accounting records by making copies; filing document
  • generate and mail cheques
  • reconcile bank statements by comparing statements with general ledger * reconcile AR and AP by comparing their statements to ours
  • assist the accountant during audit
  • verify employee expense records
  • other tasks as requested

Possess excellent organizational, Time management, and Client service skills
Must be reliable ,confident and present him/herself professionally
General Math Skills, Accounting, Deadline-Oriented, Reporting Skills, Attention to Detail a must
Confidentiality, Coordination, Thoroughness, Quality Focus, Objectivity required
Exhibits a positive attitude, have high self-esteem and energy and be able to manage many tasks at once
Possess good interpersonal and communication skills
