Needing to fill a term position, Dairy Farmers of Manitoba is looking for an Executive Assistant to join their fun and positive work environment. While this role will primarily support the General Manager of Dairy Farmers of Manitoba, there will be other opportunities to provide assistance and support to Board Members and Management.
Provide high-level administrative support for the General Manager, Board Members and Managers;
Prepare and organize meetings (including board meetings) which include gathering and distributing information, booking venues and preparing reports and presentations;
Provide extensive minute taking for Board meetings and internal committee meetings and distribute accordingly;
Manage correspondence and communication;
Coordinate travel arrangements (flight and hotel) for the General Manager, Board of Directors and other staff;
Complete special projects as assigned;
Ensure all items governed by the organization’s Administration By-Law are followed and completed, including meeting governance, Board Member eligibility, and election procedures; and
Plan and oversee corporate events.
You and Your Experience:
You have had a minimum of 3-5 years experience working as an Executive Assistant;
You have hands on experience with minute taking and are skilled at drafting professional business correspondence with an eye for detail concerning edits and formatting;
You are experienced in managing multiple, competing priorities and have worked in an environment where you have taken direction and guidance from multiple sources;
You are highly skilled with Microsoft Office suite;
You are a highly organized person with strong time management skills;
You understand and appreciate the nature of confidential and sensitive information;
You have sound judgment and a high level of professionalism;
You love to work in a fast paced environment and can adapt quickly to change;
You are able to work both independently and within a team environment and you exhibit a high level of professionalism and excellent interpersonal skills;
You are a strong communicator in both clarity and consistency with the verbal and written word;
You have demonstrated experience in meeting deadlines without compromising accuracy, excellent product quality and attention to detail; and
You have a valid driver’s license.
