Job Summary:
Provide administrative support for 3 Sales Representatives including day-to-day client activities as outlined below. Additionally, participate as a key member of the core Office Administration Team with respect to 'special projects' and general operational procedures including marketing support.

Responsibilities:

Administrative Support – Sales Associates:

  • Coordinate and assemble sales/market presentations
  • Coordinate projects with Location Analyst for computer maps and demographics
  • Preparations/duplication of large size maps
  • Prepare overviews/write ups
  • Title pages, tabs, assembly of packages / binders

Assist in deal-making process:

  • Draft Commission Agreements / Trade Records
  • Coordinate flow of information between Tenant, Principal/Broker and Landlord
  • Produce Demographics using GIS Software – support to/from Demographic Services
  • Manage voice mails as required, receive and return phone calls
  • Research – requires significant telephone and internet work
  • Coordinate meetings for trade shows and conferences including hotel and travel
  • Compose/type letters and memos
  • Coordinate special client projects as required

Other General Administrative Responsibilities:

  • Open up office – shared responsibility
  • Update in-house personnel lists-distribute accordingly
  • Assist in direct incoming calls (direct main number) or re-directed by outside
  • Assist in sorting and distributing incoming/outgoing mail
  • Assist in monitoring office supplies including paper & toner for copier
  • Assist in preparation of courier packages including performing tracers when required
  • Assist in arranging meetings and facilities
  • Assist with miscellaneous office responsibilities as required by management

Experience required:

  • College or University education (courses in Real Estate would be an asset)
  • Minimum of 2-3 years+ of administrative experience in a professional setting
  • Strong working knowledge of Microsoft Office (Word, Excel, Outlook,Publisher & PowerPoint)
  • Strong knowledge of the Internet (as a research tool)
  • Strong communication skills (written and verbal)
  • Professional and confident telephone manner
  • Customer service focused with strong interpersonal and communication skills
  • Take charge attitude with the ability to multi-task and prioritize
  • Strong collaborative team player

Location: North York
Salary: $40-45K
