Job Description:

Opportunity for an Office Coordinator/assistant based out of our Saskatoon office. This position will be under the direction of CEO and responsible for performing a variety of administrative and operational duties. Responsibilities include however are not limited to; preparing communication materials, data entry, asset managing, travel arrangements and general office duties.

Duties/Responsibilities:

  • Tending phones, ordering office supplies, sending/receiving deliveries, mail, monitoring email account
  • Provide support to the CEO this may include: managing/organizing calendars, travel arrangements, scheduling meetings, record minutes, and filing reports/documents
  • Submission of permits and booking inspections
  • Collection of site documentation and compiling mechanical shop drawings
  • Ordering blueprints/drawings
  • Assisting HR – posting positions, manage all aspects of new hire packages; information gathering/data entry/setting up orientations/assist with event planning
  • Set up and manage accommodations for out of town employees
  • Assist estimating with job bidding (request for pricing through asssoc.)
  • Asset management of vehicles/insurance/keys (booking maintenance etc.)
  • Manage cell phone account (addition of new number, review services)

Qualifications:

  • The ideal candidate will possess an administrative assistant Certificate/Diploma, or equivalent experience in an administrative role
  • Knowledge of general office practices
  • Proficient in microsoft applications; experience in word-processing and/or data entry
  • A background in the mechanical Industry is considered an asset

Skills/Abilities:

  • Effective interpersonal and oral communication skills; demonstrated ability to problem solve and
  • Thorough, detail orientated, have impeccable organizational skills
  • Strong computer skills/ aptitude
  • Proactive self-starter able to work with minimal to no supervision
