Position: Administrative Assistant, Client Services & Registration Team
Department: Client Services & Registration
Contract Dates: July 2 – October 1, 2014 and January 1 - March 13, 2015
Hours: Part-time, 3 days/week 8:30am–5pm
Number of positions: 2

We have an exciting new opening for a highly organized person to join the team. This role sits within the Client Services & Registration team and plays a vital part in ensuring the team’s success at upcoming events.
Job Summary: The Administrative Assistant, Client Services & Registration provides administrative support to Client Services & Registration with managing client services and Registration.

Duties and Responsibilities:
The main duties of this role include, but are not limited to:

  • Update and download Google Docs weekly
  • Update, compile and prepare documents for on-site Concierge Binder
  • Prepare, update Staff Schedules, Access Lists, Daily Outline of all Partner split passes for Registration (Excel)
  • Update Production Schedule with pertinent/key details and information (daily)
  • Provide administrative support as required

IT/Software Skills required:

  • MS Office package for Mac environment
  • Excel, Word, PowerPoint: intermediate-advanced
  • Google docs
  • Strong research skills

Experience and Skills:

  • Strong administrative and office support background
  • Very organized and detail oriented– must be very thorough in note-taking, documentation, following systems and processes
  • Professional written and verbal communication skills
  • Personable, friendly, positive attitude
  • Confident in dealing with people
  • Responsible, enthusiastic/energetic, takes a pro-active
  • Resourceful and able to find solutions to problems
  • Can work well independently and in a team environment
  • Takes direction well
  • Ability to effortlessly operate and troubleshoot basic office equipment (laptops, fax, printers, etc)
  • Maintains very organized records and documentation, meeting notes, and research projects/ideas
  • Well-groomed, professional presentation
