Position Title: Indoor Program Coordinator
Location: 3 Concorde Gate, Suite 304, Toronto, ON M3C 3N7 (in field when required)
Supervisor’s Title: Manager of Indoor Programs
Position Level: Full time
Hours of Work: 37.5 hours per week
Salary Range: Commensurate with experience

ONTARIO VOLLEYBALL ASSOCIATION
The Ontario Volleyball Association (OVA) is a non-profit member-based provincial sports organization where dedicated volunteers and professional staff provide leadership in the growth and development of indoor and beach volleyball for all Ontarians.

JOB SUMMARY
Under the direction of the Manager of Indoor Programs, the Program Coordinator is responsible for the administration, management and delivery of Long Term Athlete Development (LTAD) related programs of the OVA. The role encompasses a broad range of tasks and responsibilities including youth competitions (13U-15U), Ontario Championships, SPIKES program delivery, and assistance to the Association’s Athlete Development Programs (ADP).

PRINCIPLE ACCOUNTABILITIES

Competitions Management & Delivery:

  • Lead in the organization, management and delivery of assigned youth indoor competitions
  • Organize competitions including creating the competition yearly playing schedule; updating Competition Handbooks; assigning/booking host event locations; creating tournament schedules; verifying and recording/posting competition results
  • Update OVA website timely with youth competitions program information and results
  • Create and track annual competition operating budgets
  • Communicate with officials assignors & ensure assignments are scheduled
  • Monitor officials invoicing and payments tracking
  • Facilitate team entries and provide seeding information for National/Open Championships

SPIKES House League & On the Road Program Management and Delivery

  • Spikes on the Road and House League program development and management
  • Complete development, coordination, implementation and assessment of summer beach programming at Ashbridges Bay
  • Spearheading partnerships between PSO’s to create multi-sport camps
  • Assist with grant applications

Athlete Development Program Assistance (HPC Open Tryout/HPC & Regional Team/Winter Games):

  • Assist the Technical Director with the administration of the Athlete Development Training Centers
  • Coordination of all onsite logistics for assigned ADP Centre(s)
  • Liaise with Regional ADP Chairs on fulfilling Regional Game deliverables

Ontario Championships:

  • Responsible for the on-site delivery of high quality championship events
  • Assist with organization and event delivery, including all scheduling and seeding of assigned age groups
  • Attend all Championship events (month of April annually)

Communications:

  • Respond timely to all internal/external emails and phone calls
  • Prepare information for the website and update assigned program website pages
  • Provides service and support to OVA members regarding OVA registration processes pertaining to their program areas
  • Responsible for providing support to OVA communications staff in the preparation and issuance of weekly E-Bulletins

Other:

  • Provide program performance reports
  • Create and manage program budgets for respective areas
  • Assess event/program feedback and provide innovative improvements/enahncements
  • Attend staff, committee, stakeholder meetings
  • Attend advisory committee, management and Board meetings as required
  • Provide support to OVAtion Awards Banquet and Special Projects as requested
  • Act as an Ambassador for the OVA and attend required events

REQUIRED SKILLS, EXPERIENCE & ABILITIES

  • One to two years experience in event management
  • Demonstrated ability to work in a fast-paced environment
  • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management
  • Ability to meet tight deadlines and work well under pressure
  • Strong organizational skills, time management skills and attention to detail required
  • Strong multi-tasking skills and ability to prioritize
  • Ability to work as part of a team
  • Flexible approach and positive attitude
  • Ability to work independently and under minimal supervision
  • Excellent interpersonal, oral and written communication skills
  • Working knowledge of the Ontario sport system an asset
  • Ability to work flexible hours including weekend and extended hours as required
