First and foremost, the Office Administrator will courteously and effectively assist all guests to the OTA office, while providing strong administrative support and maintaining an efficient office workflow.

We hold a high standard for customer service and you will be responsible for maintaining positive client relationships by creating a professional and welcoming environment for all visitors. This includes greeting all guests in a friendly and welcoming manner, ensuring guests feel comfortable while waiting in the reception area and are taken care of promptly and efficiently. You will answer questions about the power trading workshops and assist clients as required. You will also schedule appointments for clients as required for these seminars. You will professionally answer sales questions and incoming telephone calls, redirecting them to the appropriate person as required. You will keep up to date on OTA products, services, programs, policies and procedures. You will collect feedback from clients and escalate as necessary to the appropriate individual. You will provide administrative support to the OTA Sales and General Manager. You will coordinate schedules and meetings for the Sales group, travel arrangements (purchase tickets, reserve hotels, etc.), outgoing mail and couriers. You will maintain and place orders for stationary and other office supplies. You will be responsible for ensuring general tidiness of the entire office and any other ad hoc duties as assigned.

You are a true go-getter, putting the client first and ensuring a seamless experience. You are results oriented, diligent and organized. Your administrative expertise was gained through a diploma or degree in Business, Office Administration, Accounting, or a related field. You possess excellent client service skills and office administrative experience. You may have even worked in a full service or online brokerage environment and have some understanding of investments and securities. Your communication skills, both written and oral, are top notch. You have well developed computer skills and comfortable using the MS Office Suite to keep everything organized and on track. You approach all tasks and responsibilities with professionalism.
