The Front Office Coordinator is responsible for a wide variety of reception, accounting, data entry and record keeping duties including, but not limited to:

  • Opening & Closing Procedures
  • Greet Patients, provide paperwork, change Dentrix to ‘ready’
  • Answer Incoming Phones: Directing calls, take/deliver messages, answer questions,

handle cancellations, emergencies

  • Schedule Patients Next Appointment
  • Maintains Patients Records (Paper and Electronic)
  • Dentrix: Manage ASAP List
  • Administering Forms: Insurance Claims, Referrals
  • Taking and Invoicing Payments (Patients and Insurance)
  • Sending/Accepting Deliveries, Mail, Balancing cash, monitor email account,
  • Creating letters and memos.
  • Ensure front desk and waiting room are tidy
  • Monitor/adjust level of sound system in waiting room
  • Issue Tax Receipts
  • Collection Caller/letters
  • Insurance Cheques
  • Pre-Determinations
  • Billing Reports
  • Insurance Ageing Reports
  • Special projects
  • Recalls

Position Requirements:

  • Post secondary, preference to Medial Office Assistant Program
  • Computer skills including Dentrix, MS Word, MS Excel, MS PowerPoint
  • Previous administrative experience in a similar environment preferred
  • Basic minimum language communication skills in speaking and understanding English
