  • Greeting/directing clients
  • Switchboard
  • Fax Distribution (incoming, outgoing and distribution), photocopying
  • Incoming / Outgoing mail (distribute, post, take to mail box)
  • Proofreading/Editing/Formatting reports and documentation
  • Initiate and draft letters, reports
  • Clinical Support – accepting client payments, processing invoices
  • Courier processing
  • Ordering / storing of office and coffee supplies
  • Booking boardroom / meeting room, keeping these clean
  • Liaison with outside vendors (i.e. suppliers/fax machine/copier, etc.)
  • Keeping common areas of office clean / organized, watering plants
  • Note and message taking – relaying to staff
  • Making coffee throughout day
  • Several miscellaneous tasks / projects
  • Extra administrative support for Managers when requested, such as spreadsheet creation, proofreading


  • Proficient customer service
  • Excellent knowledge of MS Word and Outlook
  • Detail oriented
  • Excellent written & verbal communication skills
  • Good reasoning and problem solving skills
  • Strong organizational skills
  • Ability to work independently
  • A certificate/diploma in office administration would be an asset
