Wanted: Office PA
About the position:
The Office PA’s role is to support both the corporate and production teams. They mind the phones, fax documents, assist with photocopying, process purchase orders and maintain cleanliness in common areas. The PA is outgoing, is enthusiastic to learn about all the facets of animation production, and pays great attention to detail.
Responsibilities and duties:
Front reception; answer phone calls, fax, scan and photocopy
Shipping/Receiving mail, courier packages and distribute to appropriate departments
Coordinate lunch meetings for various departments
Maintain the upkeep of crew kitchens & replenish kitchen supplies as needed
Perform light maintenance tasks as needed: replacing light bulbs, refilling toilet paper, cleaning out work areas, etc
Maintain appropriate stock of office supplies and paper through weekly ordering
Process invoices received and outgoing cheques
Coordinate and scan Storyboard panels creating files for Pre-Pro Editor
Scan designs on an on-going basis as necessary
Assist management team with administrative tasks and other duties as they arise
Qualifications and competencies:
Enthusiastic and organized
Proactive and eager to take on any task
Expert attention to detail and coordinating skills a must
Thrive in a high pressure, deadline-oriented environment
Excellent interpersonal communication skills (both verbal and written)
Clear and concise phone voice and pleasant phone manner
Knowledge of Microsoft Office Suite
