Position Title: Customer Service and Office Coordinator
Report To: Communications Manager
Position Summary:

Attend to visitors and deal with inquires on the phone and face to face. Supply information regarding the organization to the general public, members and customers.
Major Duties & Responsibilities:

  • Open the office and prepare for the day
  • Answer telephone, screen and direct calls, and track all calls and topics in a timely manner
  • Take and relay messages
  • Provide information to callers and all visitors to reception
  • Greet persons entering organization
  • Ensure knowledge of staff movements in and out of organization
  • General administrative and clerical support for all NHPCA teams, specifically providing support for the membership renewals (Spring and Fall) and ongoing backup for the processing of advertising requests:

o provide support processing ad requests including filing payments and updating client purchase histories;
o provide support placing purchased ads onto the NHPCA’s website; and
o provide support addressing regular questions

  • Provide support preparing letters and documents
  • Receive and sort mail, email, deliveries, and facsimile transmissions
  • Book meeting rooms, organize refreshments to support internal events and manage all travel arrangements for staff
  • Tidy and maintain the reception area, including organizing the water fountain to be cleaned every 6 months
  • Provide support to tidy and maintain shared office areas, including the kitchen and maintenance of shared supplies

Knowledge & Qualifications:

  • High School Diploma is required
  • Good working knowledge of administrative and clerical procedures
  • High competency with computers and Microsoft Office applications
  • Excellent customer service skills, principles and practices
  • Verbal and written communications skills
  • Professional appearance
