Purpose of Position
The payroll/accounts payable administrator is responsible for the day-to-day processing and maintenance of payroll and human resources records. In addition the specialist completes accounts payable processing and general accounting support.
Primary Job Duties and Responsibilities (Essential Job Functions)
Process new hires, terminations and employee changes (including but not limited to status changes, job titles, salary changes, transfers, work location and supervisor); verify information is complete, accurate and consistent with policies and has appropriate approvals. Determine correct codes and update all data related to the change.
Establish and maintain company and employee payroll records including earnings and deductions and tax withholding setup and maintenance; make appropriate adjustments to earnings and deductions; enter appropriate paid absence balances for new hires.
Prepare payroll funding requests and process payments for deductions and taxes. Determine and submit union remittances.
Reviews and reconciles payroll tax data and supports or completes payroll-related statutory reports and filings.
Reconcile payroll-related activity accounts and interact with accounting to clear reconciling items; balance current, month-to-date and year-to-date payroll registers.
Prepare invoices for processing, auditing employee expense reports, verifying that signatures comply with authorized approvals and completing an overall review to ensure compliant to company policies.
Maintain vendor names and addresses in the accounts payable system.
Analyze and reconcile accounts payable reports.
Reconcile and verify account vendor statements.
Develop and maintain spreadsheets; utilize report-writing tools to develop ad-hoc reports to summarize or provide information.
Perform additional responsibilities as requested or assigned.
Associate's degree in business administration, accounting or related field, or equivalent work experience. (Typically three years of related, progressive work experience would be needed for candidates applying for this position who do not possess an associate's degree.)
Three years of related human resources, payroll and/or accounting experience.
Proficiency in software skills to create spreadsheets and databases and to extract information. Familiarity with payroll and accounting processing software.
Effective verbal and written communication skills.
Effective analytical and problem-solving skills.
Ability to prioritize and handle multiple tasks and projects concurrently; ability to meet payroll-processing timeframes.
Payroll Compliance Practitioner designation is a plus.
