Office Administrator

Magellan Vacations:
A leader in luxury, high-touch hotel experiences. We’re looking for an experienced Office Administrator to fill a one-year maternity leave.

To thrive in this roll, you'll need to love variety, work independently, communicate well and be very organized. We are looking for a motivated individual with a proven track record in office administration. You will have a proven ability to work under pressure and prioritize. The right candidate will play and integral roll in the future expansion of the company.

The Work:

Office Management

  • Communicate with suppliers and contractors regarding maintenance issues and contracts
  • Plan and co-ordinate intra office moves and renovations
  • Order, stock, and shop for vending and office supplies
  • Maintain company break room
  • Book staff travel
  • Ensure remote staff have the required services in place

Event Planning and Co-ordination

  • Work with visiting hotels to book accommodations, manage catering requirements, and organize transportation
  • Coordinate hotel presentations for agents
  • Plan and book offsite meetings
  • Coordinate catering for staff events
  • Assist with social committee events

Employee Incentive Program Administration

  • Coordinate with program provider
  • Award points to agents
  • Manage all aspects of account
  • Present loyalty program information to new agent training classes
  • Liaise with agents regarding questions and inquiries about the program

Executive Assistant

  • Plan and book management travel
  • Respond to phone calls and emails on behalf of the executive team
  • Other tasks as assigned including personal executive requests

Key Competencies:

  • Experience in the luxury travel and/or other luxury market
  • Knowledge of clerical practices and procedures
  • Knowledge of business and management principals
  • Computer skills and knowledge of office software programs

  • Have a valid driver’s license
  • Minimum 5 years in a related office administration role


  • Experience in the luxury travel and/or other luxury market
  • Business Administration certificate or equivalent

Pay: Pay and Benefits commensurate with experience, skills and education.
