Position: Trade and Vendor Support Analyst
Reports to: Manager, Finance & Accounting

Job Overview:
Reporting to the Manager, Finance & Accounting, the Financial Analyst, Trade & Vendor Support carries out his/her responsibilities guided by established objectives and governed by company policies and procedures. The incumbent conducts day-to-day business and work-related activities with minimal supervision. This position consults the Finance & Accounting Manager for guidance on special issues and collaborates closely with the Category Management Team.
Financial Reporting & Analysis
Delivers accurate and timely reporting of business results by:

  • Reviewing and reconciling Trade/Promo Income/Channel Optimization vendor accounts
  • Interpreting all vendor contract elements (dollar value, volume, tiering, minimum thresholds) for the purpose of administration of the relationship
  • Reporting periodic income earned, funds collected and amounts owing for all vendor accounts
  • Assessing and recommending actions to address risks and opportunities in trade-related income
  • Compiling and reporting Key Performance Indicators (KPI’s) for the Category Management/Merchandising Team related to Trade/Promo Income
  • Providing analytical support to the Category Management and Supply Chain teams during the vendor contract negotiation cycle and attending meetings with vendors income
  • Evaluating trends and coordinating the preparation of Latest Estimates and forecasts for trade income

Financial and Volumetric Budgeting & Forecasting
Supports the business planning process by:

  • Preparing annual budgeting templates
  • Collaborating with the Business Planning, Category Management, Supply Chain and Marketing teams to review historical trends and impact on future relationships related to trade income
  • Evaluating trends and coordinating the preparation of Latest Estimates and forecasts for trade income

Process Improvement & Internal Control

  • Liaises and coordinates with other departments to ensure completeness and timeliness of vendor contracts and related documentation
  • Investigates discrepancies and root causes; follows up with vendors and Category Management team for resolution
  • Maintains documentation of and control over the data associated with all vendor trade relationships
  • Reviews and documents current processes and practices
  • Oversees all systems related to vendor-sourced revenue administration and reporting (Access database, TOMAX billbacks, Excel tracking schedules, etc.)
  • Participates in and/or leads project work associated with inventory costing, valuation and measurement in collaboration with other departments
  • Compares current processes to industry “best practice” and identifies opportunities to streamline and improve existing practices
  • Identifies areas for revenue opportunities and provides reporting of progress

Leadership & Talent Management

  • Develops objectives and performance measurements and monitors the Trade Accounting team’s performance with the intent of continually increasing the value and contribution of the Finance department
  • Mentors, develops and coaches team members to effectively carry out responsibilities and deliver objectives; sets clear expectations and monitors progress & achievement
  • Provides meaningful performance evaluations and development plans; provides on-going feedback to Team Members and, if necessary, deals with disciplinary needs
  • Conducts regular department meetings, encouraging feedback and participation
  • Conducts regular one-on-one check-ins with all direct reports

Job Knowledge, Skills & Credentials

  • Post-secondary diploma or degree specializing in business, accounting or finance
  • Enrolment in a professional accounting designation program preferred (CGA, CMA)
  • A minimum of 5 years of progressive finance/accounting experience, including 1-2 years in a supervisory capacity
  • A minimum of 2 years in a vendor/trade revenue administration/analysis role
  • Excellent analytical and problem solving skills to resolve issues and reconcile information from various sources
  • Advanced Excel and MS Office skills
  • Organized, process-oriented, detail-oriented
  • Strong interpersonal skills with strong oral and written communication skills
