Reporting to the Director of Operations, the Operations Administrator provides general administration support to the La Senza field operations team and acts as key point of contact to ensure smooth daily functioning of the Toronto office.

Responsibilities:

LS Field Operations Support

  • Develops and maintains effective and professional relationships with all levels throughout the company and customers
  • Ensures that all levels of internal customer service reflects company standards
  • Key point of contact for Field Leadership Team questions
  • Supports the Director of Operations with various administrative tasks
  • Key support partner for organization and planning of District Manager Conferences
  • Manages La Senza Field team travel arrangements
  • Coordinates all expense management for field operations
  • Provides general administrative assistance to field operations team as required
  • Collects data and analyzes reports as required; facilitates and coordinates requests for information as required

Office Admin & Support

  • Based in reception, this position acts as first point of contact for all visitors/vendors; escorts to office and/or meeting room as necessary
  • Maintains a brand-appropriate appearance of reception/lobby/kitchen area
  • Provides general office management (i.e. booking meeting rooms, assisting with catering orders, copying/printing)
  • Key point of contact for office security system; maintains a current list of keys and alarm codes issued; issues swipe cards to new team members
  • Maintains appropriate office supply inventory
  • Manages all inter-office and external mail
  • First point of contact for Toronto office phone system; directs calls accordingly
  • Liaises with property management group to coordinate service and/or repairs
  • Maintains and updates all home office directories, phone lists as appropriate

Qualifications

  • Excellent oral and written communication skills
  • Detail oriented and works with a high degree of accuracy
  • Highly organized and flexible
  • Ability to multitask and meet changing deadlines
  • Must be self-directed and able to complete projects with limited supervision
  • Proficiency in Microsoft Office Suite
