Busy downtown Toronto Interior Design firm is seeking an Assistant Office Manager to join our team!

Duties and responsibilities include:

Assistance with AR/AP - creating invoices for clients, billing progressive payments
Creating pricing estimates and quotes for potential clients
Creating scope of work proposals and agreements for new projects
Making adjustments/additions/deletions to invoices
Creating and submitting purchase orders, delivery request forms, and monitoring orders
Submitting delivery request forms to vendors and delivery company, and ensuring product is paid
Maintaining equipment and office supplies, including ordering required repairs of equipment, stationery etc.
Preparing correspondence, memos, minutes and reports/presentations
Creating employee work agreements, amendments, correspondence
Assisting with training of new employees and maintaining standards of performance
Assisting to maintain productivity and focus in the office, monitoring lateness, absence and non productivity. (reporting to Director of Operations)
Assisting with closing off project files - including cross checking of invoices against vendor receipts
Assisting with cross checking vendor credit card charges etc.

The Assistant Office Manager will work directly under the Director of Operations and should demonstrate the following:

A minimum of 4 years working in a similar role (in an office setting)

Solid ability to multi task, work under pressure and meet deadlines
Excellent communication skills both written and oral
Strong ability to be detail oriented, especially when working with numbers
Demonstrates a mature, positive, can-do attitude

Hours of work are Monday to Friday - 9am to 5pm, with occasional overtime required when necessary to meet deadlines.
