Location: Greater Toronto Area, Ontario
Reports to: Managers of Commercial Property Division
The Building Maintenance Representative will be responsible for the day-to-day operations of a commercial office, retail, or warehouse building(s). The Building Maintenance Representative will also be expected to perform regularly scheduled, and some unscheduled tasks, to ensure the general well being of the property and its tenants.
The Building Maintenance Representative will be responsible as follows:

  • Scheduling of supply and service personnel, work order request, and adhering to maintenance priorities and provide project supervision;
  • Assisting the property manager in scheduling monthly building inspections;
  • Twice a week inspection of all vacant units and common areas during the winter months, and performing repairs and janitorial services as required;
  • Checking and replacing common area, hallway, and outside lights as required;
  • Ensuring physical security – making sure storage areas and entrances are locked and that adequate lighting is maintained;
  • Having up-to-date knowledge regarding contracts and suppliers and their services;
  • Tenant or subtenant suite check in and checkout inspections, arrange for HVAC mechanical, overhead door, plumbing and electrical inspections as needed;
  • Participating in all maintenance projects;
  • Performing light electrical repairs on items such as fixtures, switches, outlets, circuits, etc;
  • Outdoor lighting lamp replacement as needed and to carry out a regular maintenance replacement program;
  • Performing light plumbing work such as cleaning stoppages, replacing fittings, etc.;
  • Performing carpentry work such as fitting doors, freeing windows, and painting touch-ups;
  • Insuring all contracts between the company and clients, suppliers of goods and services, consultants, etc., are properly handled to protect the company and that the company fulfills its obligations in a conscientious and professional manner;
  • Check sites after snow fall for clearing, salting, walkways, loader work needs, adequacy of clean up efforts, documentation of work, etc.;
  • Removal of road hazards; fallen bollards, wood, tire and garbage dumping, and debris as required. After storms: check for fallen trees and tree limbs and move/remove as necessary to keep access routes clear;
  • Overseeing spring, summer, fall grounds keeping, planting, pruning, and landscape upgrade contracted work, etc.;
  • Ensure health and safety regulations are met by all on-site contractors working on the property at all times;
  • Attend sprinkler/electrical room issues, check heating regularly. Oil and lubricate door hardware and service as needed. Clean mechanical rooms periodically of debris;
  • Meter readings: Read water check meters in tenanted space when required;
  • Attend tenant emergencies: flood clean up assistance, replacement of damaged ceiling tiles and light fixture lenses and other minor repair issues such as minor washroom touch ups, plugged toilets, washroom supply shortage issues, shipping access issues, etc.;
  • Supervise, repair deficiency issues and follow-up and contractor work in tenant sensitive areas;
  • Assist contractor with tenant access issues for Fire & Life safety annual inspections and tests and deficiency repairs;
  • Window caulking, cement and plaster patching and paint touch-ups as needed;
  • Odor issues: Investigate to resolve tenant odor complaint issues;
  • Dealing with roof and window leak calls, determining cause and resolving issue;
  • Supervise window washing inside and out for shared vestibules;
  • Supervise concrete and pavement repairs and cordoning off areas when needed, removal of caution tape and cones afterward;
  • Tenant appreciation event organization by cordoning off selected area for set-up.

Ensure event is properly cleaned up.
Pre-arrange grounds contractor to do property maintenance and clean up the day prior to event. Assist with any removal/disposal issues should contractor fail to provide for this;

  • Reset timers on irrigation and lighting after power outages and after spring/fall time changes;
  • Slip and fall or property damage incidents: Attend site, make safe, document findings, photograph, and collect information;
  • Parking violation attendance, placing notices on cars, logging information, calling and waiting for Toronto Police tag/tow services on offending vehicles as needed;
  • Ensuring that all fiduciary activities, reporting, servicing and agency activities are administered in accordance with existing legislation, and in a controlled and prudent manner.
