PURCHASING ASSISTANT
The candidate should understand fundamental of purchasing, warehousing and costs related to inventory. Should be a fluent with computers, Microsoft Office is a must, good with multi-tasking and able to work with strict deadlines in a fast paced environment. Working with Office and inventory software candidate will monitor stock levels, create purchase orders and report future purchasing need. You will be accountable for updating and maintaining files for pricing and purchasing details. Using design programs for which training will be provided a candidate will create advertising and sales based flyers for company use. Good time management skills are a must. High school diploma is required; college or university degree is preferred.
Two to four years’ experience in general office or administrative work, preferable in purchasing.
The Purchasing Assistant will:
Provide administrative support to Purchasing Manager
Generate inventory and usage reports and administer PO system module
Prepare and match invoices for accuracy and payment processing
To provide administrative and clerical skills in the performance of purchasing department tasks involving use of independent judgement
Have flexibility at times where deadlines may supersede regular set hours of operations
Learning products that are purchased, vendors, terms, lead times and special arrangements
Maintain inventory control of goods and re-orders merchandise on time
Negotiate samples, terms, prices and promotions as directed by Purchasing Manager
Gain knowledge on quality and delivery capabilities of suppliers
Prepare purchasing manuals for each vendor, with all pertinent information, and keep it current, including minimums for re-ordering
Issue and record PO’s and process all related invoices/packing slips for outside suppliers
Prepare and Provide assistance in preparing the monthly flyer and keying in special pricing into system
Keying of stock transfers into system, performing inventory counts
Necessary Skills and Qualifications:
High school diploma required, college or university degree preferred
Two to four years’ experience in general office or administrative work
Very strong working knowledge of PC’s and software programs (Excel, Word, Power Point and adobe in design preferred )
Must have excellent and accurate keyboarding and data entry skills
Knowledge and understanding of business operations and processes
Working knowledge of general office equipment, cost control, inventories, turns, purchasing and budgeting, including basic accounting and analysis
Knowledge of company rules, regulations, procedures and functions
Excellent communication and interpersonal skills
Professional attitude, appearance and presentation skills
Ability to work discreetly with confidential information and situations
Detail oriented and proactive with excellent judgement
Able to multitask, prioritize, work on schedules and within deadlines
Possess customer relations and service skills with the ability to remain positive
