Receiving and Shipping Data Entry Administrator

Starting Wage - $13.00 - $15.00 per hour

This position is responsible for:
Data input of all inbound goods (receiving’s) in an accurate and timely manner
Data entry of all outgoing shipments (orders) on a same day basis

Principal Duties and Responsibilities:

- Scheduling of incoming container and LTL shipments
- Ensures all relevant documentation is received from the shipping company for each particular shipment before starting data entry
- Ensures that each receiving is made against the proper purchase order
- Ensures all relevant data is input into the system for each receiving
- Runs reports and prints inventory tags
- Amends discrepancies found and notes these on the relevant receiving
- When satisfied receiving is correct transfer to cost status
- Input all customer returns and note reason where this is supplied
- Communicate with all trucking/shipping companies in regard to shortages, damages & overages. Notify proper individuals and follow up until problem is solved
- Liaison with Purchasing and Costing departments

- Confirms all packing slips are received from all warehouse zones and all appropriate information is filled on each order. This includes quantity shipped, number of pieces & weight of each piece.
- Accurately enters above information into shipping system
- Confirms shipping method is consistent with trade terms (Cash On Delivery (COD), carrier restrictions, freight charges & dangerous goods restrictions
- Responsible for inputting all COD tags accurately and attaching to proper packages
- Fills out transport bills of lading were applicable and ensures all required paperwork (Customs documentation, etc.) is attached
- Communicates with all carriers before their cut off time for pickup of orders being sent by carriers other than our preferred ones.
- Contacts customer service regarding any problems with any particular order
- Runs all manifests and waybill reports at the end of each day and ensures all paperwork is distributed to the appropriate people
- Maintains a clean and tidy work area
- Carries out additional tasks and special project work as designated by the incumbent’s supervisor
- Participates in annual inventory count

Performance Measures

  • % of inbound shipments received into the system and available for resale a timely fashion
  • % of customer returns processed in a timely fashion
  • % of shipping documentation processed error free within the period in question
  • Number of customer complaints received as a result of erroneous/incomplete shipping documentation

Communicates with:
Customer service center, Purchasing, costing, All warehouse personal ( both receiving & shipping ) Assistant warehouse manager, Warehouse manager, Pick up counter

  • Organizational Skills

Grade 12 education preferred.


  • Basic knowledge of warehouse receiving and shipping procedures and safety procedures.
  • Data Entry and Clerical Experience
