Indigena Solutions is a First Nations owned and Accenture managed delivery center in Delta, BC that provides world class technology and business process services leveraging the best industry experience and innovative solutions. We are currently looking for an experienced IT Project Administration Specialist to join our fast-paced office.

The Project Administration Specialist is responsible for supporting IT Project Managers / IT Delivery Leads with project management administration activities including work planning, resource management, issue management, and status reporting. This position works closely with Project Managers / Delivery Leads as well as local and remote resources. Some client interaction is also involved.

Key to being successful in this role is the ability to exert influence and encourage project professionals to complete PMO related tasks correctly and on time. The role therefore requires a degree of professional maturity and experience with large project/program environments.

SPECIFIC ACCOUNTABILITIES

Supply / Demand

  • Work with Project Managers / Delivery Leads on application of approved Demand / Supply rolling forecast
  • Submit requests for resource Roll-on / Roll-off, Overtime, Extension, Non-working calendar
  • Coordinate all requests with Supply / Resource Lead
  • Tracking and reporting compliance with time recording utility and onboarding processes

Deliverable Management

  • Responsible for ensuring stage gate and deliverable approvals are conducted on time and properly documented
  • Maintain the deliverables repository
  • Ensure that deliverable trackers are updated weekly from work plans and support Project Managers / Delivery Leads in any required follow-up actions
  • Notification of upcoming Milestones / Deliverables

Work planning

  • Work plan creation and maintenance

o Ensure correct structure and integrity of work plan is always maintained
o Make weekly adjustments to EAC, resource changes; Communicate required changes to work planner
o Adjusting work plans for approved on / off boarding of resources
o Confirm accurate and timely additions of approved Change Requests to work plans
o Supporting input of Actuals / ETCs

Status / Metrics

  • Support Project Managers / Delivery Leads with Status Report generation
  • Ensure full compliance with inputs required to produce weekly metrics reporting

o Clarity Time Compliance

  • Drive team members to complete their assigned issues / risks & actions
  • Conduct trend analysis to produce actionable improvement or recovery plans

REQUIRED KNOWLEDGE, SKILL AND ABILITIES

  • Good knowledge of IT Project Management and the Software Development Lifecycle
  • Ability to work with and influence project managers and other IT professionals
  • Ability to work in a fast-paced and time sensitive environment
  • Project management & administration; MS Project
  • Issue and risk management
  • Resource management – including onboarding, time tracking, reconciliations
  • Status reporting
  • Strong written and verbal communication skills
  • Strong attention to detail
  • Proven analytical, problem-solving, organizational and project coordination skills
  • Strong customer service skills
  • Maintains confidentiality and protects sensitive data at all times
  • Works collaboratively and supports efforts of team members
  • Result oriented, with the ability to work collaboratively in a project-team environment
  • Good presentation and interpersonal skills and excellent report writing abilities
  • Ability to proactively manage and anticipate issues

EDUCATION AND EXPERIENCE

  • High School or College Diploma in Information Systems, Engineering, Science, or equivalent practical experience.
  • Experience with large IT project teams
  • Familiarity with IT management reporting tools desired
  • Advanced experience in MS Project
  • Advanced experience in Excel – pivot tables, vlookups, data management
  • Experience with Microsoft Office 2010 tools, specifically Outlook, Word, Visio and PowerPoint
  • Experience working in a customer service or administrative capacity supporting either internal or external customers.
  • Knowledge of SAP and experience with SAP implementation projects is highly desired
