Reporting to the Facility Co-Coordinator, the successful candidate must be self-motivated, an autonomous worker, organized, proactive and provide a high level of customer service to all levels of management and employees. This position will oversee and be responsible for the day to day operation, internal office moves and maintenance of the building and systems including:

Key Responsibilities:

Security * Sonitrol System * Vipond and annual fire equipment inspections/repairs/upgrades

Office Equipment * Monitor Photocopier and Fax Equipment and place service calls as required. * Distribute copy paper to all stations and stock and remove toners as required.

Phones * Oversee phone system and place MAC calls * Place repair calls and monitor maintenance agreements * New employee set up or changes to existing employees

Mechanical Systems - General Upkeep * Trouble shoot HVAC and call for service as required. * Be the liason for the service technicians dispatched. * Monitor the Automation System computer for alarms and adjust schedules and settings as needed. * Monitor contracts and get comparable quotes for repairs.

Locksmith, Keys, Doors, Windows * Do repairs or place service calls and arrange for new requirements when needed. * Maintain master keys and records of such. * Furniture, workstation key/lock requirements.

Fire Safety * Perform Assistant Fire Warden duties as described in the Fire Safety Plan * Perform tasks as outlined in the Fire Safety Plan. * Check fire extinguishers, exit signs, and access routes to fire doors. * Monitor signage inside and outside and repair or replace as needed.

Waste Management * Recycled materials and pick ups * General Waste containers and pick ups * Hazardous Waste Removal * Special Bin requests

General Building Maintenance * Inspect building daily to determine repairs needed or items/housekeeping requiring attention. * Hanging posters and installing whiteboards, etc. as required. * Check all interior and exterior lights and replace as needed. * Check the grounds for hazards, garbage, and other problems. * Provide in house snow and ice removal in between visits from snow removal company. * Monitor the irrigation system and arrange repair of leaks or problems as needed. * Replace ceiling tiles and do minor repairs and painting to walls, doors, frames as needed. * Deal with all employee requests regarding outages, furniture problems, leaks, etc.

Provide service, repairs, maintenance, and support for all Facility Related Issues.

Requirements

  • Minimum of a College Diploma is required * Certification in Facility Management or equivalent work experience. * Experience with Toshiba CIX phone system and Stratagy Voice mail is beneficial. * Superior client management/customer service skills * Good verbal and written communication * Strong organizational skills with the ability to multi-task and set priorities. * General knowledge of building systems, construction practices, and tender processes. * Proven ability to successfully manage and troubleshoot facility related issues independently and without supervision, but work effectively as a team as needed. * Experience with and expertise with any of electrical/HVAC/plumbing * Familiarity with general accounting principles and budget preparation is an asset * Ability to meet deadlines and schedules * Some work required outside usual business hours
