Job Duties and Responsibilities:

  • Create basic staffing schedules;
  • Maintain documentation of employee personnel work records; verify certification and licensing;
  • Process the revised and/or updated schedule (s) in the computer according to special requests, vacations, sick leave, leaves of absence, etc., as they are received;
  • Respond to inquiries from patients and third parties; customer service and contact clients;
  • Administrative support of the management;
  • Office administration (maintaining and supervising efficient office work flow):
  • Support HR Manager throughout recruiting process;
  • Receive incident reports and directing them to management for follow ups;
  • Receive, screen and route incoming candidate calls;
  • Distribute and collect candidate employment applications and other authorization forms and enter data;
  • Ensure a strong positive client and candidate experience throughout the hiring/ working life cycle;
  • Maintain appropriate communication with other client coordinators;
  • Maintain healthy and safe working environment;


  • One (1) year of experience performing Client Coordinator/ Customer service related tasks in a health care facility is preferred, but not required;
  • One (1) year of prior administrative support experience;
  • Scheduling and staffing experience a plus;

Required Knowledge:

  • Knowledge of office practices and administrative procedures;
  • Familiarity with medical terminology an asset;
  • Familiarity with office equipment;
  • Experience/ knowledge of general Human Resources practices is an asset;
  • Strong knowledge of the Microsoft Office environment;
