Lease Administrator and Administrative Assistant
Salary range: $35,000 to $45,000 (depending on experience)
Location: Montreal/West Island
Reporting to: Vice-President – Property & Asset Management

Company profile: Our Client a privately-held Canadian company specializing in commercial office, retail and industrial real estate development and management, with an office in Montreal/West Island (but group owns property and operates predominantly in Atlantic Canada and the United States etc) is searching for a dynamic and professional Lease Administrator / Administrative Assistant to join their team


  • Perform a complete audit of all signed tenant documentation (in coordination with accounting department)
  • Responsible for tracking, modifying and filing all tenant related documentation
  • Analyze all new leases and coordinate the input of all data in the property management system (in coordination with accounting department)
  • Ensure that each department is informed of pertaining and related details from the tenant’s signed documentation
  • Monitor all conditions and deadlines of signed tenant documentation
  • Monitor all lease renewals and tenant insurance certificates
  • Prepare estoppels, renewals, termination agreements and other amendments and tenant correspondence
  • Prepare reports for operational / internal purposes within the leasing department
  • Monitor critical dates such as expiry dates, options to renew, options to terminate etc.
  • Monitor tenant sales reports
  • Ensure continued accuracy of all tenant information in the property management software system (in coordination with accounting department)
  • All general administrative assistant responsibilities
  • Other tasks as needs arise

Must-Have Qualifications:

  • Minimum of 3 years related experience in dealing with commercial real estate leases
  • Strong understanding of the administration and terminology of commercial leases
  • Good understanding of accounting principles and procedures
  • Strong working knowledge of Microsoft Office suite, especially Word, Excel and Outlook
  • Strong customer service, interpersonal and communication skills (written and verbal, mainly English)
  • Proven organizational ability, with strong attention to detail
  • Ability to communicate with others, identify problems and resolve potential conflicts
  • Perfect master of the English language, written and spoken
  • Ability to use own initiative and work autonomously
  • Must have an adaptable, keen and flexible approach
  • Professional manners
