PURPOSE: The primary function of an Agency Manager is to recruit, train, monitor, direct and coordinate the activities of Greyhound Agents within a designated territory. This is to ensure Greyhound Canada Transportation ULC (GCTU) business is conducted in a secure and profitable manner, in accordance with approved GCTU policies and procedures to ensure GCTU sales and operating objectives are attained.

RESPONSIBILITIES:

Agency Selection and Training

Identifying and recruiting individuals or businesses which meet or exceed GCTU standards of acceptance for Agents.
Participate in negotiating Agency contracts, leases, operating costs and other service agreements.
Act as lead resource in opening new Agencies.
Train Agents, and where appropriate their employees, to competently carry out and perform the necessary functions and duties associated with the business of GCTU; areas of focus for training include sales and product promotions (PAX and GCX services), financial reporting requirements, tracing and claims procedures, passenger ticket sales (schedules, refunds, warrants, service orders), P.O.S. computer systems training, standard operating procedures and GCTU policies.
Agency Maintenance

Ensure Agents’ product, financial and procedural knowledge is kept current.
Monitor financial reporting and other compliance matters including depositing requirements for GCTU funds.
Monitor customer service standards at Agencies through facility checks for appearance, cleanliness, accuracy of information provided to clients and adherence to telephone response standards.
Perform on-site financial and operational audits.
Ensure signage standards are met (outdoor, collateral, posters, safety signage, etc.).
Ensure Agent fidelity bonds and insurance policies are in place and remain current.
Encourage and assist Agents in promoting and participating in marketing initiatives.
Provide business development coaching to assist agents in soliciting sales leads.
Initiate and assist in carrying out corrective action should performance of an Agent deviate from prescribed Greyhound policy or procedure.
Liaise with GCTU Departments

Develop relationships with staff and management in GCTU departments that work closely with Agents to promote effective two-way communication.
Keep all impacted departments aware of changes, issues and successes in Agency network.
Budgeting

Prepare, submit and monitor operating budgets for Agencies. Modify as required and act upon an irregularities or variances.
Prepare, submit and monitor personal budget. Modify as required and act upon an irregularities or variances.
Job Requirements

EDUCATION:

Post-secondary education in business administration or finance is an asset

EXPERIENCE/KNOWLEDGE:

Experience within the GCTU system is a definite asset. Successful candidates who have no experience with GCTU will be required to go through a minimum seven-week cross-training process with experienced Agency Managers.
On-going commitment to learning is expected through professional development.
Ability to read and understand Agency reports and financial information is critical.
Collaborative interpersonal skills are critical for building and maintaining relationships with Agents.
Written communication skills must be strong to effectively convey messages to Agents, other GCTU departments and external stakeholders.
Working knowledge of Microsoft Office programs is required for reporting and communicating with other departments

WORKING CONDITIONS:

Extensive travel is required in this position (80%) of the time; therefore, a valid driver’s license and a passport are mandatory.
